We have an exciting opportunity for a confident, organised, and professional Office Coordinator to join a prestigious property investment firm based in the city. You’ll be joining a team of experienced property and investment professionals who are collaborative, welcoming, and genuinely passionate about what they do. The office culture is high-performing yet down-to-earth — a place where everyone works together to achieve great outcomes.

As the Office Coordinator, you’ll play a key role in ensuring the smooth day-to-day running of the office. You’ll be the first point of contact for visitors, support the team with administrative tasks, and coordinate a range of office operations and events.

This is a hands-on, people-focused role where your organisational skills, attention to detail, and initiative will shine.

Key Responsibilities

Front-of-house management – greeting clients and visitors with warmth and professionalism, offering them refreshments, and informing visitors by answering or referring any enquiries

Meeting room coordination and turnaround. Monitoring calendars to avoid clashes, tidying of meeting rooms, cleaning where required, replenishing drinks

Managing the main phone line by answering the phone, distributing messages, and transferring calls

Office coordination – maintaining supplies, facilities, and general upkeep of the workspace

Opening and closing the office: 8.30am - 5.30pm.

Supporting the team with administration, document preparation, and expense processing

Post collection, distribution and where required mailing of outgoing post

Liaising with external suppliers, contractors, and building management

Helping to support ad hoc projects and helping to enhance office processes

Maintain contacts database.

General office admin including printing, IT troubleshooting, ad-hoc errands, facilities and building management, archiving, stock control and inventory, office security.

Finance team support including monthly reconciliation of corporate AMEX cards and submitting weekly invoices for payment.

Weekly Woolworths and Harris Farm orders

Stationery supply orders where necessary

In conjunction with the other support staff, adopting a flexible lunch time approach to allow one support person to be available at all times.

Support cover when an executive assistant is on sick or annual leave

Checking and distribution of general emails in administration inbox.

To be successful previous experience in an office coordinator, team assistant, or administrative role, strong organisational and multitasking skills, excellent written and verbal communication and intermediate to advanced Microsoft Office skills.

A polished, professional approach and great interpersonal skills are a must in this role.
