Allegra School is a small, co-educational Special Assistance High School for students in Years 9 and 10 located in Coffs Harbour, NSW. The school is designed to support young people with social, emotional, behavioural, or learning needs who may not thrive in mainstream education settings. About the Role

The School Administration Officer plays a key role in supporting the day-to-day operations of Allegra School’s office. The role is central to ensuring accurate and efficient administrative, financial, and compliance processes, while also creating a welcoming, calm, and supportive environment for students, parents, staff, and visitors.

This position is often the first point of contact for parents and families and must consistently present a warm and approachable persona. The successful candidate will demonstrate flexibility, empathy, and a deep understanding of the needs of our neurodivergent students and their families.

Exceptional written and verbal communication skills, a high level of literacy, attention to detail, and problem-solving capabilities are essential. This role works collaboratively with other administrative staff to maintain smooth office operations, without requiring supervisory responsibilities.

Key Responsibilities:

1. Financial Coordination

• Oversee the school’s financial operations using Xero or equivalent software.

• Process invoices and maintain accurate accounts payable and receivable.

• Contribute to the development and application of financial policies and procedures.

2. Compliance and Reporting

• Prepare and submit data and reports to meet State and Federal compliance requirements.

• Monitor and support adherence to regulatory and accreditation standards.

• Maintain up-to-date knowledge of legislation and regulations impacting school operations.

3. Student Management Systems

• Utilise Sentral to manage student data, including enrolment, attendance, and academic records.

• Generate reports and assist in data analysis to support student learning and wellbeing.

• Liaise with external service providers to obtain supporting documentation for student files.

• Recognise anomalies within student data, proactively report them, and present solutionfocused recommendations.

4. Administrative and Executive Assistance

• Provide executive assistance to the Principal and other key staff as required.

• Coordinate schedules, organise meetings, and handle correspondence professionally.

• Facilitate smooth communication between the Principal, staff, students, and parents.

• Support the organisation of school events, meetings, and community engagement activities.

5. Customer Service and Communication

• Serve as a welcoming first point of contact, fostering a supportive and inclusive atmosphere.

• Provide outstanding customer service to students, parents, staff, and other stakeholders.

• Address inquiries and resolve issues promptly and effectively.

• Communicate with warmth, clarity, and professionalism, maintaining confidentiality and discretion at all times.

6. Record-Keeping and Documentation

• Maintain exceptional and up-to-date record-keeping practices for both electronic and physical filing systems.

• Organise and manage documentation systematically to ensure accessibility and compliance.

• Ensure the security and confidentiality of all records and files.

• Regularly update and audit filing systems to maintain accuracy and compliance.

Experience and Skills:

Education:

• Qualification in Business Administration, or a related field is preferred.

Experience

• Experience in financial administration using software such as Xero.

• Familiarity with student management systems (Sentral preferred).

• Strong background in record-keeping, compliance, and data management.

• Experience in an educational or community service setting is desirable.

Skills

• Exceptional written and verbal communication skills and high-level literacy.

This role requires a person who is sensitive to the needs of our neurodivergent student body and their families. They will be flexible in their communication and approach, adjusting to individual needs while maintaining clear, professional, and warm interactions. The successful candidate will have, or be willing to develop, knowledge of neurodiversity and inclusive practices.

Working Conditions:

This position is based at Allegra School, Coffs Harbour, and involves working in an office environment full-time.

Occasional extended hours may be required to meet deadlines or support special events.

This position will be classified as a Level 3 – Level 4 Administrator under the current Support and Operational MEA[1] dependent on skills and experience.

Salary to be negotiated based on experience $78,000 - $95, 0001

There will be a requirement to work during non-term time.

Start date of 27 January 2026; however, casual transition opportunities in Term 4 2025 are available.
