We are looking for a warrior who is passionate about seeing the world change but has the rare ability to be both a people person and tech head!

Your Purpose: Provide front‑of‑house and administrative support across events, customer enquiries and digital operations. Leverage AI tools to automate tasks and enhance efficiency while delivering a high‑quality service experience so we can make more sales.

About: The Freedom Hub is a registered Australian charity that is working to end slavery in Australia, support survivors of this crime rebuild their lives and support businesses in reducing the risk of slavery in their supply chain. We run 5 social enterprise businesses to fund our work, giving 100% of profits to support this mission. Our main operations are in Sydney & Brisbane with a vision to be national by 2034.

As a result of our unique model, this role is hectic, varied and fast-paced. It is nothing like a usual administrative role, so you need to love change, love being very busy and being flexible. It is vital to our success and is the glue that holds our many mission roles together.

Key responsibilities

Front‑of‑house & events support: Act as the first point of contact for event enquiries, phone calls and visitors. Coordinate bookings, update the events calendar, prepare event materials and liaise with the catering/venue teams.

Customer service: Handle phone and email enquiries from customers, partners and corporate clients. Resolve complaints with empathy and professionalism; maintain a calm and confident presence.

AI & digital platform management: Administer and monitor the organisation’s AI‑enabled systems (e.g., chatbots, agents, meeting‑scheduling tools, CRM automations and generative‑AI platforms). Troubleshoot issues, ensure data accuracy and train colleagues to use new features. AI tools are transforming tasks like email scheduling, meeting transcription and expense reporting, so this role will need to champion such tools.

Process improvement: Work with leadership to identify administrative processes that can be streamlined using AI or automation. Test new technologies, document processes and make recommendations.

General administration: Manage incoming/outgoing mail, filing, data entry, stock control and petty cash. Assist with expense reporting, maintain diaries, prepare basic reports and support other staff as required.

Community representation: Uphold The Freedom Hub’s values and mission when interacting with survivors, partners and donors. Be prepared to work at night or on the weekend once or twice a month for fundraisers, networking or advocacy events.

Volunteers and Interns: Onboarding and managing the ongoing roles of volunteers and interns.

Qualifications & skills

Experience: 2 years of previous office administration, reception or event coordination experience. Ability to manage and troubleshoot AI‑enabled productivity tools (e.g., ChatGPT, Otter.ai, Gemini, Claude, Expensify, CRM systems) is required.

Technical aptitude: Quick learner with strong digital literacy. Comfortable exploring new software and automations. Familiarity with Microsoft 365/Google Workspace, CRM software and social‑media platforms.

Communication: Excellent verbal and written communication skills. A highly professional presence with customers and peers. Able to handle sensitive enquiries and complaints with maturity and discretion.

Organisation & attention to detail: Ability to prioritise tasks, handle multiple enquiries simultaneously and maintain accurate records.
