As we continue to grow, we are seeking a dedicated and compassionate Community Service Administration Officer to join our team.
Position Summary
The Community Service Administration Officer is the welcoming face of our organisation, responsible for providing exceptional customer service to clients, visitors, and their families. This part-time position is for 24 hours per week and serves as the first point of contact, ensuring a smooth experience for those accessing our services. Key responsibilities include client support, administrative tasks, data management, reporting, and contributing to communication activities including social media and basic graphic design.
Key Responsibilities
Client Services
Greet clients, visitors, and families, creating a warm and welcoming environment.
Act as the first point of contact for inquiries, ensuring timely and accurate responses.
Guide clients in accessing appropriate community services and programs.
Maintain up-to-date knowledge of available community resources.
Provide feedback to management on client needs and service gaps.
Administrative Duties
Answer and direct phone calls and emails to relevant staff or departments.
Manage and update client records and databases, ensuring data accuracy.
Perform data entry and filing to maintain organised client records.
Assist in generating and analysing reports using Excel.
Maintain office supplies and ensure the workplace is tidy and professional.
Support financial record-keeping and administrative processes.
Communications, Social Media & Design
Assist in coordinating and scheduling content across social media platforms.
Create and edit basic visual materials (e.g. flyers, posters, newsletters, and social media graphics) using Canva or similar tools.
Support promotional and communication activities aligned with organisational goals.
Technology and Data Management
Use Microsoft Excel to track, analyse and report on client and service data.
Maintain client records through Client Management Systems (CMS), ensuring information is current.
Provide basic IT support and troubleshoot office equipment as needed.
Qualifications and Skills
Experience:
Prior experience in administration, customer service, or community services preferred.
Technology:
Proficient in Microsoft Office, particularly Excel (data entry, basic formulas, reporting).
Familiar with CMS and basic database management.
Experience using Canva or similar design platforms for creating visual content.
Communication & Interpersonal:
Excellent verbal and written communication skills.
Strong interpersonal skills with a compassionate, client-focused approach.
Ability to work effectively with people from diverse backgrounds.
Organisation & Problem-Solving:
Strong attention to detail, time management, and multitasking skills.
Capable of independent problem-solving and critical thinking.
Desirable Attributes
Experience in aged care, disability, or community service sectors.
Familiarity with the needs of vulnerable populations.
Relationship-building skills to connect clients with appropriate support services.
