HN Recruitment has partnered with a leading property investment firm experiencing rapid growth. As a result, they are seeking an
Operations Coordinator to join their high-performing team based in South Yarra.
This is not your average admin role — you’ll play a vital role in ensuring the smooth flow of investment property transactions, managing key timelines, engaging third-party stakeholders, and keeping everything moving with precision and professionalism.

What you’ll be doing

  • Proactively monitor deadlines and anticipate next steps to ensure client property purchases progress without delay.
  • Drive performance and follow-up with third-party stakeholders (e.g. brokers, solicitors, conveyancers) to ensure they meet key deadlines.
  • Track and manage the progress of transactions, identifying and resolving bottlenecks or delays.
  • Finalise and close off tasks with stakeholders upon settlement, ensuring no loose ends.
  • Maintain and update operational records, reports, and documentation with accuracy and consistency.
  • Support the preparation of contracts, client files, and other required documentation for property transactions.
  • Liaise with clients and stakeholders to provide updates, clarify next steps, and ensure a seamless experience.
  • Coordinate internal meetings and scheduling to support key milestones and project goals.
  • Identify and suggest process improvements to improve speed, efficiency, and quality of operations.

Must Haves

  • 2+ years of office administration experience
  • Comfortable working 5 days a week in the office

Nice to haves

  • Experience in property, financial services, liaising with brokers, conveyancers, and solicitors
