We’re a family-owned and operated business dedicated to keeping Victoria safe through expert fire safety services. As our company continues to grow, we’re excited to invite a new team member to come on board and help us keep everything running smoothly.

About the Role

We’re looking for an experienced Service Operations Coordinator to join our friendly and driven operations team. In this role, you’ll be the person who keeps the wheels turning—making sure our schedules stay on track and our clients and technicians feel supported every step of the way.

This is a full time position, with flexible working hours Monday to Friday. Plus, you’ll have the option to work from home 1 day each week.

What You’ll Be Doing

Reporting to the Office Manager, your key responsibilities will include:

Coordinating and managing bookings for inspections, testing, maintenance, and repairs

Communicating daily with technicians, clients, and internal teams to keep operations flowing

Maintaining accurate service calendars in our scheduling platform (Uptick)

Sending timely updates, confirmations, and reminders to clients

Ensuring our service delivery meets all relevant fire safety compliance standards

Keeping thorough records of inspections and service appointments

Handling last-minute changes or urgent scheduling needs with a calm, professional approach

Managing administration, including inbound emails and reporting

About You

We’d love to hear from you if you have:

At least 2 years of experience coordinating service delivery in a fast-paced environment

A proven knack for juggling multiple tasks and solving problems creatively

Excellent communication skills to build and maintain strong relationships with clients and technicians

Impeccable attention to detail and the ability to prioritise your workload

Confidence managing your own deadlines while thriving as part of a collaborative team

Initiative and a proactive approach to getting things done

Experience in client-focused scheduling or coordination with experience calling clients to arrange appointments
