We are seeking a proactive and systems-focused Business Manager / AI Transformer to work directly with the CEO and oversee business operations, digital transformation and human resources across the three McGregor Coxall design studios.
This role blends leadership in operational management, AI integration, HR oversight, digital innovation and some EA assistance to directors. It is ideal for a driven professional who thrives in complex environments and can bring strategy, digital skills, clarity, structure, and creativity to a purpose-led business.
Key Responsibilities
Studio & Operational Leadership
Lead day-to-day business operations across all studios (Sydney, Melbourne, Brisbane), ensuring alignment, efficiency, and operational excellence;
Oversee and transform studio logistics and systems including scheduling, procurement, office setup, and compliance standards utilising AI;
Lead the operations team and collaborate with local studio directors to implement and maintain best practice operational processes;
Coordinate executive calendars, manage internal communications, and ensure follow-through on leadership priorities.
AI Integration & Innovation
Develop an AI business transformation strategy and deploy AI and automation tools to streamline and link business processes (e.g. in HR, finance, scheduling, reporting);
Collaborate with teams to modernise systems, improve efficiencies, and support informed decision-making;
Keep the business at the forefront of enterprise innovation by trialling and scaling new technologies;
Drive the cultural shift toward a more digital, intelligent, and adaptive way of working.
Human Resources Management
Lead and manage the HR function, ensuring consistency in policy, compliance, and performance across all studios;
Oversee recruitment, onboarding, contracts, and workforce planning;
Design and implement staff development frameworks, including training programs, performance management, and career pathways;
Cultivate a positive, inclusive workplace culture that reflects McGregor Coxall’s values;
Develop and maintain HR systems (HRIS, onboarding platforms, feedback tools) and track key HR metrics;
Support change management and communication during team or structural transitions.
Power BI & Data Intelligence
Own and evolve the firm’s Power BI dashboards for real-time visibility across financials, resourcing, HR, and project performance;
Integrate data from multiple platforms into a cohesive, user-friendly business intelligence system;
Provide insight reports for leadership and help embed data-driven thinking across the firm;
Train relevant staff in data literacy and Power BI use.
Skills and Experience
5–10 years’ experience in business entrepreneurship, operations, AI and leadership, ideally within design, architecture, professional services, or multi-office organisations;
Strong working knowledge of Power BI, AI platforms, automation tools, and digital workplace systems;
Proven success leading change initiatives and implementing systems at scale;
Deep understanding of digital platforms and opportunities to deploy across a business;
Excellent organisational, communication, and leadership skills;
Strong strategic thinking balanced with a hands-on, adaptable approach.
