Business Office Manager – Multi-Entity Finance, HR & Operations

Our client, a highly regarded group of companies based in Wauchope, NSW, is seeking a detail-oriented and systems-savvy Business Office Manager to join their team. This is a full-time position with flexible work-from-home options available for the right candidate.

Key Responsibilities

Financial Administration (Multi-Entity)

- Manage accounts payable and receivable for multiple organisations
- Process bills, invoices, and perform bank and statement reconciliations
- Maintain accurate financial records across 12 Xero files
- Track inter-entity transactions and support monthly financial reporting

Systems & Operational Support

- Confidently use Xero and Office 365 (SharePoint, Teams, Outlook)
- Maintain digital records and support operational tools such as ServiceM8

HR, Compliance & Onboarding

- Coordinate contractor onboarding and compliance documentation
- Manage workers compensation, insurance renewals, and registrations
- Support timesheets, onboarding, and HR records across entities

Administrative Coordination

- Provide administrative support to the Director and team
- Draft and respond to subcontractor/client correspondence professionally
- Maintain follow-up systems and ensure process consistency across businesses

About you

You will possess the following essential skills:

- Significant experience in business administration or finance coordination
- Advanced Xero skills, particularly in multi-file management and reconciliations
- Strong understanding of accounts payable/receivable and financial data flows
- Confident with Office 365 including SharePoint and Teams
- Highly organised with strong attention to detail and analytical thinking
- Excellent written and verbal communication
- Ability to manage competing priorities independently

The follow are desirable skills:

- Experience with multi-entity financial administration
- Familiarity with contractor onboarding and compliance
- Background in construction, trades, or similar sectors
- Experience with ServiceM8 or similar job scheduling systems

Additional Requirements

- National Police Check
- Commitment to confidentiality and professional standards
- Driver’s licence
