This is a wonderful opportunity for a career-focused Practice Manager to work full-time for a specialist clinic in the lovely suburb of Carlton. Our client specialises in Paediatric & Foetal Cardiology and is seeking to secure the expertise of an experienced Practice Manager to join their practice on a permanent full-time basis.
The role's primary responsibilities are to maintain schedules for busy consulting sessions, schedule theatre bookings and all the administrative tasks that are associated. The role is offered full-time (Monday to Friday - 8.30 am – 4.30 pm). This is a small team environment, with 2 specialists (both working part-time), and an off-site part-time Business Manager. The successful applicant must be able to work independently and be self-motivated.
Duties Include:
Appointment scheduling and answering calls.
Greeting patients and handling their queries
Invoicing, receipting, and debt collection using Gentu software.
Medical audiotyping patient letters and reports (or AI is available)
Processing clinic letters and distribution of letters and test reports
Management of patient data, medical records, and investigations
Ensuring the waiting room and consulting room areas are maintained.
Communication with patients, specialists, and outside agencies, including Medicare.
Reconciliation of payments on a weekly/monthly basis
Management of daily correspondence
The successful candidate will possess the following attributes:

Capability to prioritise and manage multiple tasks efficiently.
Computer literacy with Windows computers, with competency using MS Word, Outlook & Excel. MS Access is desirable.
Manage a paperless office
Ability to learn new skills quickly and accurately.
Problem-solving skills in emergencies, whilst remaining calm
Professionally attired together with a warm, friendly and courteous nature.
The ideal candidate will have worked or is currently working in a similar role. Previous experience using clinical management software (especially a cloud-based version) will be an advantage.
Excellent communication skills are essential to the role. You will need to communicate via telephone, email and face-to-face with people from a variety of backgrounds.
