Position Overview

The bookkeeper/assistant accountant is responsible for ensuring that all student receipts and refunds are accurately and promptly accounted for in the student management system and the financial accounting system. The bookkeeper/assistant accountant will also undertake general ledger reconciliations, accounts receivable management, scheduling banking payments and the preparation of ad-hoc and periodic reports.

Reporting to our CPA and CA qualified CFO, the bookkeeper/assistant accountant will also benefit from mentoring and practical experience so this role may suit a recent graduate or someone undertaking professional year studies and seeking to further develop their experience.

Key Responsibilities

Processing tuition fees after course variations, cancellations, terminations, withdrawals, deferrals and other changes in students' enrolments, in SIHE's Student Information System (Meshedhe)

Processing all payments and issuing payment receipts

Responsible for managing enquiries from students and agents regarding payments, invoices and OSHC

Attend Student Orientation Week at the commencement of each trimester to issue invoices and collect student tuition fees

Updating student information in PRISMS related to tuition fee defaults and ensuring consistency with Meshedhe

Issuing and sending student tuition fee payment reminders

Perform student data entry, and student tuition fee collection and provide necessary reports in relation to these functions

Complete data entry in XERO such as recording income, accounts payable, refunds etc.

Complete data entry on Meshedhe such as tuition fee delays, reductions, payment plans, and scholarships as required

Produce income reports for SIHE senior management, including reconciliations and detailed breakdowns of income as requested

Follow up and collect all outstanding fees in accordance with SIHE policies and procedures

Provide student debt reports or feedback as required

Review and advise on any required changes in the Refund Policy to Student Services and Admissions Manager

Refer outstanding student debts and liaise with SIHE's appointed debt collector

Issuing warning letters to students for overdue payments, monitoring compliance by students with the student warning letters and maintaining related records

Manage student tuition fee refunds or transfers in accordance with SIHE's policies and procedures

Assist with preparation for Student Orientation Week

Other administration duties as requested by the Student Services and Admissions Manager or SIHE senior executive and management.

Key Selection Criteria

Essential:

Bachelor's degree in accounting

Experience working in the higher education or VET sector

Experience working in ledger and bank account reconciliations

Experience with Xero accounting software

Intermediate or advanced user in Excel

A high level of computer literacy and excellent verbal and written communication

Desirable:

Experience with Meshed Higher-Ed or RTO Manager Student Management System

Membership of an accounting professional body
