Location: Nuriootpa (option to work in Gawler until the end of the year) | Hours: Flexible but looking for 25 hours per week | Monday to Friday | Work From Home up to 1 day per week!

Are you a reliable, detail-oriented admin professional looking for a flexible part-time role? Virtual Trade Management (VTM) is seeking an Operations Support Officer and an Accounts / Finance Officer to join our team, helping deliver quality administration and support services to our growing list of trade-based clients across Australia.

About the Roles
In our Operations Support Officer role, you'll be the front of line for our clients – handling administration tasks on a wide variety of tasks including: managing inboxes and schedules, answering incoming client calls, coordinating work orders, invoicing, account management and ensuring things run smoothly for our clients each day. You will report to the Business Manager and work closely with a small, collaborative team that values professionalism, initiative, and good humour.

In our Accounts / Finance Officer role, you'll be responsible for managing end to end accounts payable processes, including invoice processing, supplier reconciliation, payroll, and assisting with month end reporting, both for our clients and for our business. Attention to detail, accuracy, and the ability to work in a fast-paced environment are key to success.

Key Responsibilities

In Our Operations Support Officer role;

• Manage inboxes, phone calls, and client communications
• Schedule appointments, coordinate calendars, and support meeting logistics
• Organise and maintain digital records and client files
• Invoicing and account management
• Support with reporting, admin tasks, and task tracking across platforms like ServiceM8 and Microsoft 365
• Liaise with clients, suppliers, and team members to keep things moving

In our Accounts / Finance Officer role;

• Accounts Payable and Receivable
• Reconciling bank accounts, general ledger, credit cards, and supplier statements
• Investigating and resolving discrepancies
• Invoicing and account management
• Supporting monthly reporting and accounting tasks
• Assisting with general administrative duties as needed

We're Looking For Someone Who
✓ Has experience in admin, business support, or executive assistance
✓ Has previous experience working with or supporting tradespeople (builders, electricians, plumbers etc) will be highly regarded
✓ Is confident using Microsoft 365 (Outlook, Excel, Word, Teams)
✓ Communicates clearly and professionally (written & verbally)
✓ Is proactive, organised, and has the ability to juggle multiple tasks calmly
✓ Works well independently, uses initiative to problem solve and takes pride in doing things right
✓ Understands confidentiality and takes it seriously

For our Accounts / Finance Officer role, we are also looking for;

✓ Experience in a finance or administration role ✓ A qualification in Bookkeeping, Accounting
