This role is suited to a friendly, outgoing and team orientated professional. You will have previous experience working within a corporate, professional services environment and enjoy liaising with a varied stakeholder group. This position will give you the ability to further develop yourself, add value to the office and over time become the "go-to" person. You will enjoy variety and pride yourself on your ability to quickly adapt and prioritise when required. You will be joining the FITAHR (Finance, IT, Admin & Human Resources team) team and this role reports to the Group Senior HR Manager.

Candidates must have Australian work authorisation or be eligible for visa sponsorship to commence employment immediately.

YOUR ROLE

Office Operations & Administration

· Oversee the smooth day-to-day running of the office environment, ensuring a productive and safe workplace for approx. 70 staff.

· Act as the main point of contact for all office-related matters, including facilities management, supplier coordination, and equipment maintenance.

· Manage inventory and procurement for office supplies, kitchen items, and equipment maintenance.

· Utilise AI software to support continuous improvement and increase efficiency in day-to-day office operations.

Human Resources Support

· Assist the HR function with recruitment coordination: posting job ads, scheduling interviews, screening candidates, reference checks and handling candidate communications and confidential information.

· Manage onboarding and offboarding logistics, including system access, equipment setup/return, and induction documentation.

· Support general HR tasks such as maintaining employee records, organising training, and HR Projects from time to time.

Events, Culture & Engagement

· Organise and execute company events, including Quarterly Staff Events, Our Annual Off-site Conference, and other ad hoc events through the calendar year.

· Coordinate event logistics such as catering, venues, communication, transportation and setup.

· Contribute to maintaining a positive and inclusive office culture through regular engagement initiatives and being a member of the Parnell Events Committee.

Health, Safety & Compliance

· Actively participate in the Parnell Safety Committee, contributing to safety initiatives.

· Having a current First Aid certification, with the ability to act as a First Aid Officer if required and/or a willingness to become first aid qualified.

· Organise and execute Safety Hub training for all employees

Technology & IT Systems

· Strong working knowledge of Microsoft Office Suite, including Excel, Outlook, Word, Teams, and PowerPoint.

· Confident in managing and maintaining SharePoint sites for document storage, collaboration, and internal communications.

· Liaise with external IT provider to manage office hardware, troubleshoot basic issues, and support staff with minor tech queries.

· Maintain records of office assets and ensure key systems and databases are kept up to date.

Team & Departmental Support

· Administrative support to the Finance Team as required, including assistance with staff expense processing, invoice tracking, and documentation.

· Provide ad hoc administrative support ANZ Sales Team with coordination tasks, such as preparing meeting rooms, organising travel or logistics, and assisting with event setup.

· Provide ad hoc administrative and operational support to the Executive Leadership Team (ELT) as and when required.

SKILLS AND EXPERIENCE

· Tertiary qualification in Business, Administration, Human Resources, Communications, or a related field

· Minimum 3 years' experience as an Office Co-Ordinator or similar role

· Advanced experience across Microsoft office 365

· Strong knowledge and understanding of Canva, Adobe, Nitro sign and similar software programs

· Demonstrated experience in change management including implementation of new software programs/systems strongly desired

Core working hours will be Monday to Friday on site in Alexandria, 9:00 am – 5:00 pm.
