OFFICE MANAGER
The Office Manager is responsible for leading, managing and coordinating the full range of supermarket office functions, including administration, human resources, systems and records, compliance, and operational project support. This role ensures the office runs efficiently and professionally, with a focus on closely supporting front-of-house store operations through resource management, staff leadership, organisation and effective communication.
The Office Manager works closely with the Managing Director and Store Manager to ensure the business is supported with accurate records and reports, efficient systems, and an adequately resourced workforce, including a team of capable office administrators. The role also ensures that all office practices comply with legal and regulatory requirements.

Minimum experience and qualifications:
Minimum 12 months experience in office management role
Previous retail experience preferred but not essential
Bachelor degree in business, management, HR, commerce or a related discipline preferred
ROLE AND RESPONSIBILITIES
Core Functions (KPIs)
Key accountabilities will include, but are not limited to:
Workforce and HR Management
Create, publish, and adjust staff rosters to meet operational needs, budget and availability.
Monitor staff attendance and support the accuracy of payroll inputs (i.e. approved timesheets, leave approvals, work types and classifications).
Coordinate onboarding and offboarding processes.
Maintain HR records and documentation (contracts, training, performance).
Draft and distribute internal HR communications.
Product Strategy & Analytics
Analyse product sales and new product trial results to inform category, range, life cycle, utilisation, pricing and promotional decisions.
Extract and interpret customer behaviour and purchasing data using existing systems.
Use business intelligence tools to identify cart mixes, customer segments and emerging trends.
Prepare product, customer and market insights and recommendations for business growth.
Office Administration & Systems
Be responsible for office operations, supplies and systems, to ensure adequate support and resourcing for the supermarket’s day-to-day functions.
Maintain secure and current records, including all login credentials and access controls.
Manage the office function for email, mail, document control and telephone communications.
Provide ad hoc coordination and support to senior leadership.
Inventory & Product Administration
Maintain and be responsible for accurate product data, including pricing and descriptions.
Process invoices, credit notes, claims, and inventory updates using the ERP systems.
Generate management report, including but not limited to product, margin, dump stock, leakage and write-offs, and investigate and resolve data discrepancies.
Print and maintain pricing labels and promotional signage.
Customer Service & Retail Operations
Support store-level retail operations, including occasional front-of-house tasks.
Develop, train and enforce store policies, procedures, and customer service standards.
Respond to customer queries or assist with escalations as needed.
Project & Business Improvement
Plan, manage and deliver operational projects which improve and build upon the business’ ability to make data driven decisions relating to product, or operational efficiency, with the goal of sustainable scale and growth.
Liaise across departments to ensure delivery of system or process improvements.
Team & Culture
Work collaboratively with and contribute to the whole of the leadership team to ensure and maintain:
High quality store presentation and retail team culture
Thorough and effective in-store training and team communication
A clean, safe, and high-performance work environment
