Your Role

As Office Manager, you will be the operational cornerstone of KOSEC. From coordinating executive meetings and maintaining office standards to overseeing event logistics and onboarding new team members, your influence will extend across every department. This role combines traditional office management with high-level business support, giving you exposure to senior leadership, media teams, HR, sales, events, and client services.

You will be the go-to person for both internal efficiency and external professionalism—ensuring the business operates with precision, prestige, and structure.

Key Responsibilities

Executive & Operational Support

Serve as a key liaison between department heads, supporting daily business needs and communications

Coordinate meetings, team briefings, and executive schedules across business units

Maintain strong relationships with vendors, contractors, building management, and service providers

Ensure all executive areas, client rooms, and communal spaces reflect KOSEC’s luxury and professional standards

Administrative & Office Leadership

Oversee daily office operations, maintaining a clean, organised, and productive workspace

Manage office supplies, equipment, deliveries, and all procurement and inventory control

Support onboarding and induction for new hires, working closely with HR and department leads

Maintain and update administrative documentation, filing systems, compliance logs, and internal registers

Events & Media Support

Coordinate internal and external events, including investor forums, podcast recordings, client meetings, and media shoots

Oversee guest scheduling, room setup, catering, and logistics for high-profile meetings and interviews

Support KODARI Magazine and marketing teams during magazine production cycles, launches, and brand activations

Liaise with photographers, videographers, and PR firms to ensure smooth execution of marketing and media projects

Technology & Systems Management

Support basic IT troubleshooting in coordination with service providers and external tech support

Maintain internal phone systems, CRM access, and communication tools

Monitor and assist with digital tools used for project management, internal workflows, and office systems

Culture & Team Support

Champion company culture and team spirit by supporting internal communications, social events, birthdays, and milestones

Assist with scheduling monthly performance reviews, employee development sessions, and internal workshops

Be a point of contact for general staff enquiries and a key driver of office morale and team unity

What We’re Looking For

Minimum 3 years’ experience in an Office Manager, Operations Coordinator, or Executive Assistant role

Background in financial services, media, events, or luxury industries preferred

Excellent multitasking and problem-solving skills under pressure

High attention to detail with strong written and verbal communication

A professional, well-presented demeanour and client-facing confidence

Proficiency in Microsoft Office, Google Workspace, and project management tools (e.g., Trello, Notion, or Monday)

CRM experience (e.g., Salesforce, HubSpot, or Zoho) highly regarded

Degree in Business Administration, Management, or relevant discipline preferred
