Office Manager & EA - full-time, some flexible working
(Starting salary $95,000 to $110,000 plus super)
W Advisers is a successful growing boutique law firm. Our office is in Macquarie Street, Sydney overlooking the Botanic Gardens. We focus on corporate & commercial, insolvency & financing and dispute resolution work.
We act for high-net-worth individuals, family offices, private corporate groups, listed and unlisted public companies, start-ups, private lenders, funds and charities.
The team is currently 8 FTE staff in total. We’re friendly, social and diverse. We accomplish a lot for a small team. We have regular lunches and social and client functions.
We’re seeking an Office Manager and EA to our 3 partners. Your role is to assist the partners with their day to day matters and to keep the office running smoothly. We’re looking for someone who enjoys working in a city office environment to take the lead in managing the office. Some of the work may be able to be done remotely once work patterns are established. We also have some remote back office support.
Administration experience in professional services firms essential. Preferably in law firms but other professional services experience considered. You should have experience working as an EA for a small high performing team with excellent office management skills, and have a desire to contribute to our growth.
Requirements for the role:
EA & office management experience in legal, financial or allied professional services
Motivated, self-directed, well-organised and friendly (team-oriented)
Resilience and track record in working to deadlines, sometimes under pressure
Full Australian working rights with no visa restrictions
Since this is a management role, it occasionally requires some matters to be attended to outside usual office hours.
Experience with liaising with high net worth families, company founders and directors would be well regarded.
Key Responsibilities include:
Client onboarding and matter set-up – ensuring these comply with legal profession requirements (training will be provided)
Time recording and estimates – keeping these up to date
Assisting partners with day to day aspects of their matters – diarizing meetings, liaising with clients, producing and formatting letters and documents, etc.
Regular invoicing / billing of all matters and disbursements
Managing and developing staff policies and records including employment agreements and employee records
Document management and keeping files (emails and documents) in Smokeball
Diary and email management for the partners
Arranging client meetings and other events (eg functions, team retreat, continuing legal education, etc)
Other general office duties
