The role:
We're on the lookout for a motivated and professional Intermediate Office Administrator / Receptionist to join our growing team. This part-time position is perfect for someone who thrives in a fast-paced, client-focused environment and takes pride in delivering high-quality service and support.
You'll be the first point of contact for clients and visitors and will play a key role in keeping our office running smoothly. The successful candidate will have excellent organisational skills, a warm and professional presence, and the ability to work independently.
In this role you will be responsible for:
Front desk reception duties – managing calls and welcoming clients
Diary management and scheduling
Providing administrative support to the Director and the broader team
Managing office supplies and ensuring meeting rooms are always immaculate client-ready
Coordinating meetings and events
Updating and maintaining our CRM and client records
Monitoring ATO and ASIC portals for client updates
Training and supervising Junior Administration Assistants where required
Email and inbox management, filing, and general office upkeep
Nurturing strong client relationships with a customer-first mindset
Providing exemplary client support, including product advice and recommendations
To be successful in the position, you will have:
Proven Office Administration experience with the ability to support Senior Divisional Managers and Account Managers;
Diary management experience
Excellent verbal and written communication skills for effective correspondence with colleagues, and clients;
A positive, friendly and welcoming demeanour (in person and over the phone) and an ability to establish rapport quickly and easily. A professional and vibrant telephone manner is essential;
Positive referencing around customer service, being a team player with a high degree of initiative and helpfulness;
Strong time management and organisational skills with an ability to manage multiple tasks efficiently with great attention to detail;
Ability to work well in a team in a fast-paced environment (and enjoys being busy);
High respect for confidentiality;
Proficient in using MS Office Suite (Word, Excel, Outlook);
A proactive approach to identifying and resolving issues related to Office Administration and Accounts;
A passionate can-do attitude, flexibility and the ability to effect and embrace change.
What’s in it for you:
Up to $60-$65K per annum (pro rata) + super
Part-time role (3 days per week / 22.5 hours per week)
