About us

Eastern Air Conditioning is a small but well established air conditioning company that started in 2008.

We provide both residential and commercial air conditioning services Sydney-wide - we do everything AC related, from design and installation, repairs and maintenance to mechanical services. We have built up a wide and varied client base, including pubs and accomodation, medical buildings/offices, commercial offices, gyms, as well as homes.

We have a small office team and field staff of 15 in total. We are looking for a part-time Administration Assistant to help support our admin team.

We are located in a brand new, modern and well-equipped office and factory on Production Avenue in Kogarah, with plenty of private parking on site.

The Opportunity

We're looking for a Administration Assistant to join our company on a part-time basis, 3 days per week, working 8.5 hours per day with a 30-minute lunch break. The ideal daily start time for this role is from 8am/8.30am.

We are looking for someone with excellent customer service skills, strong organisational skills, great attention to detail and previous administrative experience. The right candidate will be confident using online scheduling/invoicing systems and have a positive, can-do attitude and a willingness to learn. We are looking for someone who can seamlessly fit into our keen, positive and hard working company culture.

Highly desirable skills (but not essential for the right candidate) include: experience in the trade or service industry or previous experience using Service M8/SimPRO or a similar job scheduling and invoicing system.

Responsibilities

Managing the approval of received supplier invoices

Entering supplier invoices into our job management system, SimPRO

Assisting our full-time Job and Administration Coordinator with answering and following up on phone and email enquiries

Scheduling jobs for our tradesmen and apprentices

Assisting our administration team with ad hoc admin duties as required

Working with our admin team to track invoice payments, following up on overdue invoices

General tidying and housekeeping of office
