About the Role
We’re seeking a proactive and highly organised Project Support & Administrative Assistant to join our Surveying team in South Melbourne. This is a part-time role (3–4 days per week) with potential to transition to full-time.
You’ll be an office all-rounder, providing essential administrative support to ensure the smooth running of day-to-day operations, with some basic bookkeeping responsibilities included.
This role is much more than basic administration — you’ll play a key part in supporting our management team with project coordination, document management, and client communication. It’s an excellent opportunity for someone who thrives in a fast-paced environment, enjoys variety in their day, and is confident taking ownership of both operational and project-related tasks.

Key Responsibilities
Provide project support to the management team
Coordinate communication between clients, contractors, and the internal team
General office administration and reception duties
Maintain accurate records, files, and invoices
Support financial administration including processing invoices and basic bookkeeping
Accounts payable/receivable experience and familiarity with Xero/WorkflowMax (advantageous but not essential)
Assist with other operational and project-related tasks as required
About You
Previous experience in project support, coordination, or a similar role (administrative experience essential, but project exposure highly regarded)
Strong organisational skills and the ability to manage multiple priorities
Excellent written and verbal communication skills, with confidence liaising across teams and with clients
Detail-oriented with a proactive, problem-solving mindset
Comfortable working independently and taking initiative
Self-motivated with the ability to adapt to changing priorities
