The Organisation

The Plumbing Industry Climate Action Centre (PICAC) is a not-for-profit, industry led training partnership that incorporates five Registered Training Organisations.

PICAC operates as a Centre of Excellence for the delivery of high-quality training and professional development for the plumbing, fire protection and mechanical services Industries across Australia.

PICAC draws students from across Australia and has campuses in Victoria, Queensland and New South Wales. PICAC has strong ties to key industry stakeholders which it supports by providing training for practitioners throughout their careers.

The Project

The "Building Futures: Breaking the Barriers for Women" project, led by PICAC, is driving lasting cultural and structural change in a sector where women are less than 1% of the workforce. This groundbreaking national initiative, backed by the Australian Government and ten leading industry Project Partners, aims to create inclusive, safe, and supportive workplaces through a national framework, education, and awareness campaigns.

As Project Administration and Communications Officer, you'll be central to this systemic shift, drafting vital communications, managing project logistics, and enabling a future where all can thrive.

The Project is being led by the Project Director, supported by a small Project team and external consultants.

The Project Administration and Communications Officer will support the Project Director and Project team.

The Project Administration and Communications Officer provides high-level administrative and communications support to the Building Futures: Breaking Barriers Project Director and Project Team. As part of a small, agile team, this role is pivotal to ensuring the smooth day-to-day operations of the Project, with duties spanning executive level administration support and management, stakeholder communications (eg emails, newsletters), digital design and the delivery of functions to support the smooth delivery of the Project.

The Role

The Project Administration and Communications Officer provides high-level administrative and communications support to the Building Futures: Breaking Barriers Project Director and Project Team. As part of a small, agile team, this role is pivotal to ensuring the smooth day-to-day operations of the Project, with duties spanning executive level administration support and management, stakeholder communications (eg emails, newsletters), digital design and the delivery of functions to support the smooth delivery of the Project.

The ideal candidate is a well-rounded professional with a unique mix of administrative expertise, communications flair, and a collaborative, proactive attitude. They must be highly organised, detail-oriented, and capable of working autonomously and sensitively within a complex and diverse Industry stakeholder landscape.

This is a 12-month fixed term contract - Part-Time (0.6 FTE)

Key Accountabilities

Executive & Administrative Support

Manage the Project Director’s diary, including scheduling complex multi-stakeholder meetings and events

Coordinate internal team schedules, meetings, and Project logistics

Manage Project-related invoices, credit card reconciliations and maintain financial tracking documentation

Assist in coordinating stakeholder workshops, online sessions, and Project events (including venue bookings, tech support, registrations and pack creation)

Take accurate and professional meeting minutes; manage agendas and follow-up action items

Ensure digital Project files and documentation are stored, named, and maintained using appropriate version control

Communications and Marketing

Draft, review, and edit written communications including email campaigns, newsletters, stakeholder updates, internal briefings, and meeting materials

Manage and publish communications via MailChimp and Eventbrite (or similar platforms)

Support development of professional and visually compelling presentations and reports (e.g. in Canva, PowerPoint, Word)

Collaborate with PICAC’s Marketing Specialist to align messaging and tone across channels

Design and Digital Tools

Use Canva to design and format branded materials, workshop templates, social tiles, whiteboard brainstorming, and other visual assets

Use Microsoft Teams & Office 365 tools (Lists, Planner, Excel, To-Do, OneNote) to support shared planning and delivery

Maintain communications and content calendars, with reminders for content drafting and approvals

Project Team Support

Work closely and cooperatively with the Project Director and Project Team

Contribute to the design and preparation of tools and resources used for internal collaboration and external stakeholder engagement

Be a positive and solutions-focused team member, adaptable to changing needs and timelines

Required Core Competencies and Skills

Organisation and Time Management: Demonstrated ability to support senior leadership, manage multiple priorities, meet deadlines, and work autonomously within a structured Project environment.

Written Communication: Advanced writing and editing skills, with the ability to craft professional communications, briefings, and stakeholder-facing content for different audiences.

Required Experience

Essential:

Demonstrated experience supporting busy executives and/or cross-functional Project teams

Strong written communication, stakeholder liaison and time management skills

Digital literacy working with Canva, MailChimp (or equivalent), and Microsoft 365 suite

Desirable:

Experience working within a grant-funded or multi-stakeholder Project environment involving industry, education, government, or advocacy sectors

Background in communications, marketing or public relations
