We are a rapidly growing residential building company, specialising in insurance repairs for over 20 years. Based in Beenleigh, we service the greater Brisbane region, including the Gold Coast and Sunshine Coast.

With a dynamic team of skilled professionals and a strong reputation for quality service, we’re now looking for a confident Administration Assistant to support our busy office and keep things running smoothly behind the scenes.

This is a varied role where you’ll provide high-level administrative support, assist with the early stages of claims, and be a professional first point of contact for clients, insurers, trades, and colleagues.

About the Role

You’ll play an important role in ensuring jobs flow smoothly from start to finish. From handling calls and emails, to assisting estimators and supervisors, to ensuring paperwork is accurate and up to date – you’ll be the glue that keeps everything on track.

Key responsibilities include:

  • Acting as a professional first point of contact via phone, email, and mail.
  • Entering new jobs into the system and making first calls to clients.
  • Liaising with homeowners, insurance companies, loss adjusters, and trades.
  • Coordinating inspections and booking appointments.
  • Proofreading and submitting reports, scopes of work, and variations.
  • Preparing and sending contract paperwork.
  • Monitoring critical dates and ensuring updates are provided in line with KPIs.
  • Providing general office support such as filing, generating reports, preparing presentations, setting up for meetings, ordering supplies, and making travel arrangements.
  • Supporting other departments as required.

What You’ll Bring

  • Prior administrative or reception experience in a fast-paced environment.
  • A professional and confident phone manner with excellent communication skills.
  • Strong organisational and time management skills with the ability to juggle competing priorities.
  • High attention to detail and accuracy, particularly in data entry and document preparation.
  • Intermediate knowledge of Microsoft Office (Word, Excel, Outlook).
  • A proactive, reliable, and accountable attitude – someone who takes pride in their work.
  • A friendly, approachable, and positive mindset with a willingness to learn.
  • Common sense, good judgement, and the ability to stay calm under pressure.
