Seeking an experienced Administration Assistant!

We are working with a well-established construction firm on the Northern Gold Coast that’s on the lookout for an experienced Administration Assistant to join their growing team.

To be successful within the role you must be able to hit the ground running - organised, proactive, and confident making decisions on the fly. A great opportunity to get your foot in the door with a highly respected company in the industry.

The opportunity

Role: Administration Assistant

Location: Gold Coast

Industry: Construction

Hours: 8:30am – 4:30pm (Flexibility offered)

Salary: $65,000 - $75,000+ Super (Depending on experience)

Employment Type: Full-Time, Permanent

As an Admin Assistant, you will play a key role in keeping things running smoothly day-to-day and supporting the Managing Director with ad hoc tasks. The position offers a variety of responsibilities and you will definitely be kept busy due to the ongoing growth of the business. The team offers a supportive, inclusive and collaborative environment where you will have opportunities to learn, upskill and grow in your career.

Responsibilities

Greeting visitors and being the friendly face at reception

Providing admin support to the director and wider team

Managing incoming calls and ensuring clear, accurate messages are passed on

Organising travel and accommodation for the leadership team

Scheduling subcontractors and coordinating their site visits

Preparing meeting agendas, taking minutes, and handling follow-ups as needed

Keeping subcontractor records and insurances up to date

Assisting with purchase orders and invoice follow-ups

Preparing various business documents and presentations

Monitoring and managing office supplies and inventory

Essential skills & Experience

Previous experience in admin, reception, or general office support

Experience supporting Directors with PA duties is desirable

Must be able to think on your feet, proactive and ability to use initiative

Dedicated, hard working and committed to the role

Confident communication skills – both written and verbal

A team player approach, happy to pitch in and support where needed

A professional and personable attitude
