An exciting opportunity is available for a proactive, enthusiastic, and detail-oriented Finance and Administration Officer to join our team. The Finance and Administration Officer supports the bookkeeping team by delivering accurate and timely bookkeeping services to a selection of clients, under the supervision of a qualified bookkeeper, as well as providing general administrative support to the business as a whole. This role includes transaction processing, reconciliations, payroll support, and general administrative tasks.
Flexible working hours (between 20–38 hours per week) are available, including accommodating school-hours or existing study commitments, with WFH flexibility after the completion of training and probation.
Position Overview
This role is ideal for a motivated individual who is either looking to develop their skills in bookkeeping or with experience in office support, reception duties, and general administration and is looking to take the next step in their career. If you enjoy working across a variety of duties in a client-focused environment, this position offers the perfect mix of hands-on bookkeeping tasks and general business support. Whether you’re starting out in the bookkeeping field or bringing your admin experience into a more finance-focused role, we’ll provide the training and mentoring to help you succeed.
Bookkeeping Support
Process transactions in Xero, MYOB or similar accounting software, including uploading and coding receipts and invoices, matching transactions to bank feeds, recording reimbursements
Assist with accounts payable and receivable, including entering supplier bills and preparing payment summaries
Help prepare reports or summaries as directed by a Senior Bookkeeper
Support payroll processing by entering timesheets, employee details, or assisting with superannuation reporting
Assist with basic reconciliations (e.g. bank accounts or credit cards), flagging discrepancies for review
Update client platforms and portals where required (e.g. PRODA, Business Hub, Centrelink, Child Support)
File and organise digital records to maintain accurate and up-to-date client folders
Communicate regularly with clients to request documentation, resolve queries, and deliver updates.
Collaborate with clients’ accountants or tax agents where required.
Maintain confidentiality and high professional standards across all client engagements.
Administrative Tasks
General office administration such as reception duties, data entry, document formatting, template updates, scanning, and filing
Prepare correspondence, spreadsheets, or client forms as required
Assist with onboarding tasks for new clients (e.g. setting up Xero files, gathering information)
Support internal systems maintenance such as updating client records, lists or software logins
Organise meetings, staff training sessions, or prepare materials for team use
Other ad hoc duties to support the bookkeeping team or Director as required
Skills & Experience
Required
At least 1–2 years of experience in a bookkeeping or administrative support role.
Basic understanding of bookkeeping/finance principles and interest in building skills in this area.
Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
Excellent attention to detail and organisational skills.
Strong written and verbal communication, with a client-focused approach.
Ability to prioritise and meet deadlines in a multi-client environment.
A can-do attitude and willingness to learn and take direction
Comfortable working independently and as part of a team.
Positive attitude, initiative, and commitment to continuous improvement.
Desirable
Experience using cloud accounting software such as Xero or MYOB.
