Since 1995, Peninsula Shade Sails has been designing, manufacturing, and installing high-quality shade solutions across the Mornington Peninsula. As a locally owned and operated business, we take pride in managing every stage of the process in-house—from concept and design to fabrication and installation.
We’re looking for an organised and proactive Business Administrator to join our small, friendly team. This is a key role that keeps the office running smoothly and supports both our customers and our onsite teams.
About the Role
You’ll be the main point of contact for customer enquiries, prepare and manage quotes, coordinate job scheduling, and provide day-to-day administrative support to the team. You’ll also assist with record-keeping and help maintain our quality systems.
This role suits someone who enjoys variety, takes initiative, and thrives in a small business environment where everyone works together to get the job done.
Key Responsibilities
Respond to customer phone and email enquiries in a professional, helpful manner
Prepare quotes and manage project details in our CRM
Schedule site visits, installations, repairs, and liaise with the production team
Maintain accurate records and assist with ISO quality system documentation
Support day-to-day office operations, including invoicing and supplier coordination
Ensure clear communication between office, workshop, and onsite staff
What We’re Looking For
Previous experience in administration, scheduling, or customer service
Strong organisational and time-management skills
Clear and professional communication skills
Familiarity with ISO 9001 or similar quality systems (ideal but not essential)
Confident using email, CRMs, and scheduling tools
A flexible, team-oriented approach and willingness to adapt
Experience in construction, trades, or manufacturing environments is a plus
