Business Purpose
Hopscotch OT provides paediatric occupational therapy services to children and their families. We are a well-established business located in Hampton and provide outreach services in Bayside and Kingston.
Position Purpose
As our Practice Manager, you will be responsible for overseeing the daily operations of the clinic, ensuring compliance, offering exceptional service to our clients, while supporting our clinicians and leading our administrative team with professionalism and care.
Duties & Responsibilities
Oversee and manage day to day clinic operations.
Lead and support administrative staff and manage allocation of tasks.
Provide high quality customer service
Diary management: booking and rescheduling appointments and waitlist management.
Invoicing: processing payments and rebates, dent collection.
Reconciling payments and expenses.
Prepare weekly billable reports for clinicians and proactively fill vacant places in the diary.
Work on strategic growth of the practice, including marketing and promotion of services.
Contribute to creating and reviewing policies and procedures
Coordinate with the clinic owner and practitioners to implement efficient clinic processes and improvements.
Handle and store client information in line with privacy and confidentiality requirements.
Ensure up to date knowledge of relevant funding requirements (NDIS/ medicare) and inform staff accordingly.
Liaising with referrers.
Office housekeeping: replenishing stock, cleaning, tidying.
Maintain a safe and clean working environment by complying with policies, procedures and regulations.
Selection Criteria
Previous experience in practice management or allied health administration
Strong leadership, problem solving and organizational skills
Exceptional verbal and written communication skills.
High level of computer literacy, with the ability to learn new software quickly. Previous experience with Cliniko and Xero preferred.
Previous allied health experience is desirable (knowledge of NDIS, HICAPS, Medicare)
Ability to manage competing priorities in a fast-paced environment
Exceptional customer service skills
Motivated individual with the ability to work autonomously and as part of a team
Performance review
Staff performance is reviewed at the completion of the 3 month induction period and yearly thereafter. Feedback is provided on key performance indicators each month.

There are physical requirements of this role e.g. standing, lifting weights of various amounts, bending/squatting, going up and down stairs, walking and driving.
