About us
ValleyCare Eye Doctors is an established eye specialist clinic located in Traralgon. Our team is committed to providing the local community with excellent eye specialist service and surgery. We are looking for a Practice Manager to join the existing team.
The successful applicant will work collaboratively with a small team of administration support staff, clinical support staff and the practice owner. The practice owner values the practice manager's input and encourages open communication, feedback and ideas on ways the clinic can continue to, and improve on, achieving positive patient outcomes.
Six doctors visit the clinic on a monthly rotational basis, usually consulting one at a time.
The Role
We are seeking a permanent part time/fulltime Practice Manager working 4-5 days a week. The applicant is committed and passionate about health care in the regional area. Character traits of empathy and integrity is essential in leading the team, serving the patients and fostering working relationships with external parties.
Our clinic uses multiple electronic software for our daily work, including electronic patient records (Zedmed), electronic staff rostering system, and electronic bookkeeping (Xero). The applicant is required to be able to learn new computer systems and be comfortable in their everyday use.
The successful applicant is self-motivated to gain understanding and skills in various systems the clinic uses, including medical reception duties and account reconciliation. The role requires attention to detail, completing tasks such as patient/hospital billings, payroll and staff rostering. The applicant is expected to be a working member of the team, with the flexibility to learn and cover different roles in the clinic as required. To have the flexibility to cover for leave periods occasionally is highly favoured.
Duties
Practice management duties:
Doctors and support staff roster
Problem solving on issues arising from the running of the clinic
Account reconciliation, payable and receivable
Liaising with external parties
Receptionist duties when required:
Greet our patients in a friendly, courteous and professional manner
Prepare and settle patient accounts
Schedule patient appointments by phone and in person
Liaising with Medicare, Vet Affairs and Private Health funds regarding patient accounts
Manage multiple tasks and incoming enquiries simultaneously
Secretarial duties when required:
Data entry with a high level of precision and accuracy
Scanning of paper-based letters and correspondence
Emailing correspondence
Ordering stationery
About you
Be a self-motivated person to acquire new knowledge and skills
Applied practical computer skills

Excellent organisational skills with an attention to detail
Be flexible with your tasks from day to day, including covering shifts and leave periods
Friendly and approachable
Clear and precise communication with proficient English language skills
Ability to work unsupervised
Demonstrate or learn medical terminology
Advanced proficiency in Microsoft Office Suite and demonstrated experience with medical practice management software
Knowledge of Medicare billing procedures and compliance requirements
