Position Summary:

The Operations Manager is a pivotal team member responsible for ensuring the smooth, efficient, and high-quality delivery of Studio Evolution’s suite of programs, events, and member services. This role focuses on overseeing daily operations, supporting enrolment and student experience, managing timelines and logistics, and ensuring the team delivers with clarity, ease, and alignment to the Studio Evolution brand.

This role works across our core programs — Studio Evolution, Grads, The Leap, and The Eight — and ensures all behind-the-scenes systems, resources, and processes are optimised and consistently delivered to a high standard. The role also involves managing event logistics (virtual and in-person), overseeing stock and resource distribution, and working collaboratively with other team members to uphold our commitment to ease, excellence, and member delight. A little cheeky sense of humour never hurts, either!

Outcomes and How Your Success will be Measured:

In this role, you will support both CEO’s to achieve the vision of the company by coordinating all the behind the scenes details and delivery of all of our programs. This role also comes with international and domestic travel and suits someone who is not scared to jump on the phone to resolve an issue. The Operations Manager role is busy, fast paced but incredibly rewarding. In this role you will be responsible for:

Operations & Program Delivery:

Manage timelines and delivery plans for all program components, ensuring that everything is executed on time and to the highest standard.

Manage multiple company inboxes and respond in a manner that puts a smile on our clients faces.

Coordinate the delivery of program resources (Zoom links, recordings, worksheets, social media posts etc.) using platforms such as Thinkific, Ontraport, Zapier, Google Suite, and Canva.

Monitor enrolments and student progress, ensuring that each member receives the support they need to thrive. Deliver tri-annual to pillar reporting and data tracking to analyse member & program performance.

Maintain student portals and learning spaces, keeping them up-to-date and aligned with the latest content.

Communicate via CRM (Ontraport) to ensure seamless information flow between the team and members, providing exceptional customer service that creates raving fans.

Collaborate with Operations Assistant, Mentors, the Program Curator, and the CEO to ensure that each program component is well-supported and effectively delivered. This includes delegating work to the Operations Assistant through Asana.

Keep calendars up to date and accurate on a daily basis, ensuring that all requests are scheduled according to scheduling parameters and considering the global location of our clients across multiple time zones

Event Logistics & Resource Management:

Coordinate live events, retreats, intensives, and online masterclasses, ensuring that all logistics are handled and all resources are ready for delivery.

Prepare and manage event timelines, communications, and task allocations, ensuring all team members are aligned.

Oversee event-related materials including welcome kits, journals, gift boxes, and other event resources, ensuring they are printed, packed and distributed on time.

Book travel and manage event budgets, ensuring costs are within scope and deadlines are met.

Manage inventory and restocking of printed materials, journals, and physical resources that are housed remotely at our Packaging Assistant’s residence.

Coordinate printing, ordering, and shipping of student materials through our designers, printers and distribution team.

System Optimization & Team Support:

Refine and manage internal systems to increase efficiency, ensuring workflows are streamlined and optimally supporting the team.

Maintain SOPs (Standard Operating Procedures) for operational processes in the “Playbook”, ensuring processes are always up-to-date and accessible.

Support cross-functional alignment across departments (Mentoring, Admin, Marketing, Leadership), ensuring that we’re working together toward the same growth goals.

Contribute to pillar reporting and data tracking for program performance, identifying areas for improvement.

Manage payment processes including auditing payment plans and liaising with debt recovery contractors when necessary.

Client Engagement & Retention:

Proactively maintain relationships with members, ensuring they feel supported throughout their journey with Studio Evolution and encouraging long-term retention. Build relationships with them via phone, email and zoom.

Deliver an exceptional onboarding experience for new members, ensuring they feel welcomed, engaged, and ready to get started. We take onboarding seriously and you will lead every new student through a nurture sequence that connects, bonds and helps them feel a true sense of belonging.

That you’re a low-key inbox and admin systems Wizard. We manage multiple inboxes and use a variety of admin platforms and will ask you to get up to speed quickly using them. Experience in Google Suite is favourable but not necessary as basic training is offered. If you’re admin and email-phobic, this probably isn’t the job for you.

You are outstanding at maintaining relationships and excel at keeping in contact with our team. You take personal responsibility for your actions and pride yourself on your integrity. You are kind, enthusiastic, exude warmth and find it easy to connect with people.

Fast and accurate administration skills. On a daily basis, you will work through several operations and process/planning documents hosted in Google Suite and be expected to communicate efficiently online through the management software Asana.

Proven experience in an operations, project management, or program delivery role. You know how to remain highly organised with strong attention to detail and a proactive mindset.

Comfortable with tech platforms and tools like Zoom, Thinkific, Zapier, Ontraport, Asana and Slack (training also provided)

A calm and supportive presence under pressure. As this role supports the CEO’s you need to be able to problem solve and handle the juggle of managing all programs without being handheld.

Care deeply about the transformation our programs offer studio owners and respect the transformations that take place.

Details

Hours Per Week: This is a full time role of 38 hours per week. The hours are 9am - 5pm or 8am - 4pm. Three times per year we host Online Global Retreat Weeks for which the hours are 7am - 3pm. Online Global Retreats fall in the months of February, June and October each year. There will also be more flexible working hours when you are travelling for domestic and international events.

Location: Location-independent. You must be comfortable working as part of a virtual team, have your own computer and high-speed internet access.

Wage Rate: Range from $80,000 - $89,000 AUD per year depending on experience (inclusive of superannuation).
