Summary:

We are seeking a highly organised and detail-oriented Business Coordinator to streamline administrative operations within the ActivateRail business. The ideal candidate will possess excellent organisational skills and a strong understanding of business processes. This role requires a proactive individual who can identify areas for improvement, implement efficient systems, and ensure smooth day-to-day operations.

This includes client pricing, rostering, client liaison, invoicing, payroll and other general administrative duties.

Key Responsibilities and Duties

  • Ensuring rates sets are current and communicated to all clients
  • Ensure invoicing is accurate and timely
  • Ensure our payroll process is accurate and timely
  • Work with the operations team to ensure financials are accurately linked to operations contracts
  • Continually identify and make improvements to all administration processes to enhance overall efficiency and productivity
  • Develop and interpret financial reporting (ensuring accurate relationships between software – Assignar & MS Business Central)
  • Assist with the compilation of tenders
  • Stakeholder communication – internal (office/operations staff), field staff and clients
  • Ensure compliance with all company policies and procedures

Skills and Experience

  • Qualification in Business Administration or a related field.
  • Proven experience in an administrative role, preferably in a fast-paced environment.
  • Experience in financial reporting and interpretation of figures
  • Excellent organisational and time management abilities, with a keen eye for detail.
  • Proficient in using office software and systems, including MS Office, Business Central, Assignar.
  • Exceptional communication skills, both written and verbal.
  • Ability to adapt to changing priorities and work under pressure.
