The Role:

An exciting opportunity is available for an office all-rounder to join our rapidly growing team based in Geelong. This full-time position spans three thriving businesses — Wilmoore Allstone, WMA Scaffolding and BRUHN Limestone — giving you exposure to multiple operations and the chance to grow with a dynamic company.

We're looking for someone who thrives in a fast-paced environment, enjoys wearing many hats, and can confidently multitask across a broad range of responsibilities. If you're organised, adaptable and motivated, this is your chance to make the role your own — with genuine opportunity to grow into an Office Manager position as you develop with the business.

Responsibilities included but are not limited to:

Organising the office and maintaining smooth operations including:

Managing multiple shared inboxes by triaging emails, flagging those requiring action, and filing completed emails into appropriate folders

Coordinating meetings, travel and appointments for Directors

Maintaining and managing Directors’ Outlook calendars to ensure schedules are up to date, accurate, and well-organised

Answering and directing incoming calls as the first point of contact

Assisting with onboarding new employees, maintaining employee records, and managing apprentice enrolments

Supporting visa and sponsorship paperwork for prospective employees

Providing administrative support to the Office Manager, Finance Manager and Accounts team, including scanning, filing and general assistance

Organising and maintaining both digital and physical filing systems for staff, projects, and operational records

Managing inventory, including ordering office and kitchen supplies, uniforms, and maintaining up-to-date spreadsheets to track stock

Assisting our social media managers with blog queries and approvals

General office organisation and upkeep to keep things running smoothly

To be successful in this role you will possess:

Proven experience in administration or executive support roles

Advanced Microsoft Office skills (especially Outlook, Word, Excel)

Strong verbal and written communication

High attention to detail and ability to multitask stay across multiple tasks

A proactive and flexible attitude with the ability to work independently

Reliable and punctual, respecting commitments and deadlines

A warm, bubbly and professional manner that makes others feel welcome
