The Role:
We are seeking a proactive and highly organised Executive Assistant to support our Director and senior leadership team. This role is pivotal in ensuring smooth internal operations, effective communication flow, and the successful execution of key priorities across departments.
Key Responsibilities:
· Manage the Director’s diary, schedule appointments, and prioritise meetings.
· Coordinate meetings for senior leadership, including agendas, minutes, and follow-ups.
· Prepare high-quality reports, presentations, and correspondence on behalf of the Director.
· Act as the point of contact between senior leadership and internal/external stakeholders.
· Draft, proofread, and manage email correspondence and communications.
· Liaise across departments to ensure alignment and timely action on Director's priorities.
· Maintain confidentiality and exercise discretion in all matters.
· Support key business projects and initiatives by tracking progress and ensuring milestones are met.
· Assist in compiling reports, business cases, or submissions required by the Director or senior team.
· Coordinate office activities, internal events, and meetings, including catering and venue bookings.
· Monitor and order office supplies, tech, and general resources.
· Liaise with IT support, suppliers, and service providers when necessary.
· Maintain filing systems (physical and digital) for Director’s correspondence and critical documentation.
· Experience using ERP systems or similar, experience with Job Management Systems such as AroFlo or SimPRO
· Assist with expense reports, reconciliations, and invoice approvals.
· Provide administrative assistance to finance and operations where required.
About You:
· Proactive, organised, and solutions-focused.
· Strong attention to detail and ability to juggle multiple priorities.
· High level of professionalism and discretion.
· Excellent written and verbal communication skills.
· Comfortable navigating changing priorities and working under pressure.
· Previous experience in an executive support role is highly regarded.
