We need someone to provide high-level administrative and operational support to the Executive Officer (EO) of our dynamic church sommunity care organistion, Newlife Care. Your role will be to ensure smooth daily operations, efficient systems management, and effective coordination of activities. The Adminstration and Operational Coordinator will play a critical role in supporting the organisation's mission by providing dependable administrative assistance, maintaining organisational systems, and ensuring compliance with policies and procedures.

What you will do
1. Administrative and Operational Support
● Assist the EO with scheduling, correspondence, and preparation for meetings, including taking
minutes for Board Meetings, ensuring efficient time management and communication.
● Manage documentation, including drafting reports, maintaining records, and preparing
presentations.
● Coordinate procurement processes for resources, materials, and supplies to support organisational
activities.
● Ensure all administrative tasks, including emails, filing, and phone enquiries, are handled promptly,
contributing to smooth program operations, especially Crossroads and Community Care.
2. People and Team Support
● Work with the program teams to organise events and undertake tasks that enhance the program’s
offerings and participant experience.
● Provide administrative support for recruitment, onboarding, and coordination of volunteers and
staff.
● Develop and maintain strategies to enhance positive team culture, collaboration and
communication.
● Support the training and equipping of team members by preparing resources.
● Foster a positive and organised environment that reflects the organisation’s values and mission.
3. Community Engagement and Stakeholder Support
● Maintain donor engagement systems, ensuring timely communications and accurate data
management.
● Build and nurture positive relationships with stakeholders, including church members, community
partners, and donors.
● Assist with coordination and execution of events and activities to support community engagement
and outreach efforts.
● Represent the organisation’s mission and values in all interactions with external parties.
4. Systems and Process Management
● Manage and refine organisational systems to improve operational efficiency.
● Maintain accurate and up-to-date databases, including donor and volunteer information.
● Coordinate the implementation of new systems or processes to enhance organisational and / or
program effectiveness.
● Ensure all systems are compliant with relevant policies and best practices.

Essential Selection Criteria

4. Administrative Expertise: Proven experience operating in a dynamic office environment and
providing effective administrative support, including developing and implementing organisational
systems.
5. Technical Proficiency: Demonstrated proficiency in Google Suite and confidence in database
management and social media tools.
6. Communication Skills: Excellent oral and written interpersonal skills, with the ability to engage
effectively with a diverse range of people and stakeholders.
7. Teamwork and Independence: Ability to collaborate within a small team environment while
managing tasks independently with minimal supervision.
Desirable Selection Criteria
1. Educational Qualifications: Certificate IV or Diploma in Leadership & Management, Business
Administration, or a related field.
2. Volunteer Support: Experience in supporting volunteer management, including recruitment,
compliance, onboarding, and engagement processes.
3. Donor Engagement: Ability to oversee donor communications, manage donor data, and enhance
donor relationships.
4. Design and Communication: Experience in creating print and digital materials, using tools like
Adobe InDesign or Canva, and understanding social media marketing principles.
