Toot toot! Jump on board The Q Train. The CEO of our family-owned and operated tourism restaurant on the Bellarine Peninsula is looking for a Personal Administration Assistant. We seek a motivated and detail-oriented Personal Administrative Assistant to support our CEO. This part-time position offers flexibility and is ideal for a parent with school-aged children. Candidates will have the option to work entirely in-office in Drysdale or in a hybrid capacity, depending on preferences and negotiations.
Key Responsibilities:
Maintain and coordinate the CEO’s schedule, including meetings, appointments, and travel. Ensure the CEO is prepared and briefed for all engagements.
Manage incoming and outgoing communications, including emails, phone calls, and correspondence. Draft, proofread, and format documents and presentations as needed.
Organise internal and external meetings, prepare agendas, take minutes, and ensure follow-ups are completed.
Assist with research, reports, and special projects as requested by the CEO. Track deadlines and deliverables.
Liaise with suppliers and tourism operators to ensure clear and concise communication.
Manage the onboarding of staff - issuing HR documents and maintaining employee records, ensuring certifications and training are up to date.
Handle sensitive information with the utmost confidentiality and professionalism.
Perform basic bookkeeping tasks as needed.
Oversee office management and perform various administrative tasks.
Answer phones and screen calls, providing excellent customer service.
Qualifications:
Proven experience as a personal or administrative assistant, preferably in a tourism-related environment
High proficiency in Microsoft Office Suite
Familiarity with Xero, Fareharbor, and/or Employment Hero highly regarded
Proficient in written and spoken English with excellent communication skills
Soft Skills:
Excellent organisational, time management and multitasking skills
Strong attention to detail and problem-solving skills
Ability to work independently and under pressure in a dynamic environment
Kind, respectful, and committed to providing exceptional service
Work Environment:
Permanent Part-Time position with flexible hours Monday to Friday
Work hours ranging from 20-30 hours per week, depending on the skill set of the incumbent
