Medical Secretary / PA to Plastic Surgeon – Full Time Richmond, VIC | Flexible Hours + WFH Options | Supportive Team Environment
$35 to $43 p/hr + super + parking
An exceptional opportunity for an experienced Medical Secretary / Personal Assistant to join a respected and growing Plastic Surgery Practice in Richmond. This is a part-time position with the potential to extend – ideal for someone looking to thrive and work amongst a dedicated team in a patient-focused environment.

The current role is 26 hours / week working with one Specialist Plastic & Reconstructive Surgeon within a growing private practice. Additional opportunities will likely be available in the near future within the practice and potential growth in the role is a expected possibility.

A high level of organisational and communication skills
Experience with Gentu Medical software and Excel an advantage
Objectives:
General Duties:
The secretary -
Is required to have contact with the public, patients and other employees involving explanations of specific procedures of the practice;
Is accountable for the quality, quantity and timeliness of their own work;
Works within procedures that are well understood and documented;
May be required to supervise and co-ordinate the work of other employees;
Assists in covering reception when required;
Takes the initiative to market and develop the practice with guidance from the doctor;
Delegates duties to and supervises Administration support staff;
Prepares financial and practice management reports when required; and
Follows through with general Privacy Act requests.
Patient Duties:
Makes appointments in a timely and efficient manner;
Deals appropriately with all patient enquiries ensuring complete and prompt follow up;
Registers and bills patients for consulting;
Completes and enters into patient file all documentation required for each patient;
Prepares a patient quotation for medical/cosmetic procedures;
Prepares patients fully for their Surgical procedure including;
Completes all details for theatre bookings and anaesthetic and assistant staffing of theatre lists;
Orders and ensures delivery of implants/equipment for theatre lists;
Schedules post-operative appointments;
Imports clinical photography to patient file from photography database;
Bills theatre procedures using HICAPS/HIC Online/ECLIPSE;
Bills TAC/Workcover claims; and
Provides patient education.
Banking and Finance:
Prepares and balances banking;
Attends to timely banking of cash and cheques;
Reconciles daily EFTPOS
Reconciles Medicare/Health fund/TAC/Workcover payments;
Uses MYOB accounting software for staff wages/payroll/superannuation/practice expenses; and
Attends to end of month invoicing
Position Requirements:
Completion of VCE or equivalent, and previous experience in a medical receptionist/secretarial role.
Minimum Certificate III in Medical Administration or equivalent qualification.
Demonstrated high level of communication, teamwork and inter-personal skills.
Attention to detail, professional presentation and strong administrative skills.
Excellent computer literacy and working knowledge of MS Office Suite.
Knowledge and experience in using specialist practice management software; preferably Gentu software.
