Are you an organised, tech-savvy person looking to join a supportive and dynamic allied health team?

We are seeking a Clinic Administration Coordinator for our busy Cranbourne West clinic. This role is ideal for someone who enjoys variety in their day and has a strong focus on client service, administration, and maintaining a smooth-running clinic environment.

Key Responsibilities:

Greeting and liaising with clients in a professional and friendly manner

Managing appointments – booking, rescheduling, cancelling

Processing payments – including private payments, HICAPS, WorkCover, TAC, DVA, Medicare, and NDIS claims

Data entry and reporting, requiring strong skills in Excel, Google Sheets, or Microsoft Excel

Confident use of online booking systems (experience with Cliniko highly regarded)

Social media management – creating posts, scheduling content, and engaging with our community (please be prepared to show examples of past work)

General administration duties – data entry, scanning, filing, balancing end of day reports, maintaining cash float, etc

Basic accounting tasks – reconciling bank accounts, matching transactions, and managing outstanding invoices and debt collection follow-ups

Stock management and ordering – monitoring clinic supplies and consumables, including online shopping and maintaining stocked rooms

Washing clinic linen and ensuring fresh supplies are available

General cleaning duties – vacuuming, mopping, cleaning sinks, wiping surfaces, and maintaining a clean and welcoming clinic environment

Acting as a personal assistant to the clinic director, assisting with administrative tasks and errands for the clinic

Supporting the director’s other businesses as required during clinic hours, including administration, online tasks, and project assistance

Other reasonable tasks as requested by the osteopaths

About You:

✔️ Experienced in reception, administration, or personal assistant roles

✔️ Computer literate (essential) – we are a paperless clinic

✔️ Skilled in Excel or Google Sheets

✔️ Comfortable with basic accounting tasks, including bank reconciliation and managing unpaid invoices

✔️ Knowledge of Cliniko or similar patient management software preferred

✔️ Confident with online systems and social media management, with examples to share

✔️ Excellent communication and organisational skills

✔️ Comfortable multitasking across clinic duties and PA responsibilities

✔️ Positive, proactive, and confident in working independently

Hours & Salary:

Approximately 30 hours per week with full-time available for the right candidate

Immediate start available, but flexible for the ideal applicant

Salary range: $32–$42 per hour depending on experience and suitability
