About Us

Smooth Wholesales is a fast-growing wholesale distributor, supplying over 5,000 products to independent retailers across Australia. We specialize in USA confectionery, toys, phone accessories, household essentials, car care, personal care and more. As our business continues to expand, we are looking for a detail-oriented and organised Bookkeeper & Administration Officer to join our team in our Moorabbin office.

The Role

This role combines bookkeeping, financial management, invoicing, and general administration, ensuring smooth business operations. You will be responsible for accounts payable and receivable, invoicing, credit notes, supplier communication, and reconciliations, playing a vital role in managing the financial processes of the business. Experience in wholesale businesses and online retail (Shopify) is highly regarded.

Key Responsibilities

Bookkeeping & Financial Management

  • Process accounts payable and receivable, ensuring accurate and timely payments
  • Perform bank and credit card reconciliations in Xero
  • Manage customer and supplier invoicing and ensure records are up to date
  • Assist in BAS preparation and ATO compliance
  • Process payroll, superannuation, and staff reimbursements
  • Generate financial reports for management as required

Supplier & Customer Accounts Management

  • Process supplier invoices, ensuring accuracy and refining processes for efficiency
  • Manage credit notes and customer returns, ensuring timely resolutions
  • Act as the primary contact for suppliers regarding missing items and discrepancies
  • Maintain accurate records of purchase orders and supplier interactions

Administrative & Business Support

  • Handle email correspondence and customer inquiries related to invoices, payments, and accounts
  • Assist with stock management, pricing updates, and data entry
  • Support management with financial reporting and general business administration
  • Ensure smooth day-to-day operations within the office

What We Are Looking For

  • Proficiency in Xero – Essential for managing bookkeeping and financial tasks
  • Experience in a wholesale business – Preferred but not required
  • Familiarity with online retail platforms like Shopify – Preferred but not required
  • Strong understanding of accounts payable, receivable, reconciliations, and payroll
  • Excellent organisational and multitasking skills
  • Attention to detail and problem-solving ability
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to work independently and meet deadlines
  • Excellent communication skills for supplier and customer interactions
