Position Summary:
We are seeking an experienced and highly organised Practice Manager to oversee the daily operations of our law firm. This role is integral to ensuring the firm's administrative, financial, and operational efficiency. The ideal candidate will have a strong background in law firm management, including accounting and financial oversight, HR coordination, compliance, and office administration.
Key Responsibilities:
1. Financial & Accounting Management
Manage and oversee all financial transactions, including accounts payable, accounts receivable, payroll, trust accounting, and expense tracking.
Prepare monthly, quarterly, and annual financial reports for the partners and the Law Institute of Victoria.
Reconcile bank and trust accounts in compliance with legal industry standards.
Supervise billing processes, ensuring timely and accurate invoicing.
Liaise with external accountants and auditors during financial reviews and year-end reporting.
Monitor firm cash flow, budgeting, and forecasting.
2. Office & Operations Management
Oversee day-to-day administrative operations of the firm.
Manage office infrastructure, including supplies, equipment, and IT coordination.
Ensure office policies, procedures, and systems are effectively implemented and regularly reviewed for improvement.
3. Human Resources Support
Support recruitment, onboarding, and training of legal and support staff.
Maintain HR records and ensure compliance with employment laws and firm policies.
Coordinate staff performance reviews and support professional development initiatives.
4. Compliance & Risk Management
Ensure compliance with legal industry regulations, trust account rules, and firm policies.
Maintain firm licenses, professional insurance, and vendor contracts.
Support the development and implementation of risk mitigation strategies.
5. Strategic Planning & Partner Support
Provide operational support to partners for business development, budgeting, and strategic growth initiatives.
Analyze firm metrics to identify opportunities for operational improvement.
6. Qualifications:
Minimum of 3–5 years’ experience in a law firm or professional services firm in a management role.
Strong knowledge of legal accounting systems and trust account regulations (experience with LEAP and MYOB preferred).
Excellent leadership, communication, and organisational skills.
High level of discretion, ethics, and professionalism.
7. Compensation:
