A fantastic opportunity exists for an Office Manager to join a high-end architectural business in South Melbourne. This eco-centric commercial firm is seeking a detail-oriented and proactive professional to oversee administrative, financial, and project coordination tasks.

Your Key Duties & Responsibilities:

Administrative Duties

• Managing office supplies, equipment, and vendor relationships
• Organising meetings, taking minutes, and preparing reports
• Handling correspondence, emails, and phone calls
• Ensuring compliance with office policies and procedures

Financial & HR Support

• Assisting with payroll and managing invoices
• Tracking expenses and budgets using Rapport3 (cloud-based project management software)
• Overseeing employee onboarding and HR documentation
• Coordinating staff training and professional development

Project & Client Support

• Assisting with project administration and documentation
• Coordinating client meetings and maintaining records
• Managing contracts, permits, and compliance requirements
• Supporting architects with submissions and reports

Office Coordination & Culture

• Ensuring a productive office environment
• Organising team-building activities and company events
• Overseeing health and safety compliance
• Acting as a liaison between management and staff

Skills & Experience needed:

• Experience in office management, administration, or operations
• Preferably in an architectural, engineering, or construction firm)
• Strong administrative and organisational skills
• Experience handling financial tasks (invoicing, payroll, expense tracking)
• Familiarity with architectural or construction project workflows ideal
• Experience in managing invoices, and expense tracking using cloud based project and resource management software Rapport3
• Proficiency in Microsoft Office, and project management tools
• Strong problem-solving skills and ability to take initiative
