Join our exciting, newly established specialist practice, Horizon Eye Specialists, as a receptionist and clinical coordinator. We are seeking a friendly, motivated, and highly organised individual to help deliver patient-centred eye care in a modern and supportive environment.

As an integral member of our team, you will not only be responsible for front desk operations but will also play a key role in setting up systems and processes to help shape the future of our growing practice.

This role also offers a career progression pathway, with the potential to advance into a Practice Manager role, where you will have the opportunity to take on a managerial role, lead a team, and contribute to the growth and success of the practice.

📝 Key Responsibilities

Manage all incoming calls, patient inquiries, and appointment bookings with professionalism and warmth

Greet and welcome patients, ensuring a friendly and supportive environment

Coordinate and schedule appointments, including follow-ups and referral management

Handle patient invoicing and payments, and submit accounts through Medicare, Eclipse, and private health funds

Oversee daily front office operations including inventory management and ordering supplies

Liaise with hospitals and theatre staff to finalise surgery bookings and theatre lists

Provide administrative support such as medical typing, scanning, filing, and document distribution

Maintain high standards of customer service, confidentiality, and patient care at all times

Assist with the development and implementation of systems and processes to support practice growth

🔍 What We're Looking For

Minimum 2 years' receptionist experience in a customer-facing role, preferably in a medical specialist setting

Experience using medical practice management software (e.g. VIP.net, Genie) and Microsoft Office is highly desirable

Strong communication and interpersonal skills to interact effectively with patients, clinicians, and staff

Excellent organisational abilities with high attention to detail

A proactive attitude with the ability to work autonomously and manage competing priorities

Interest in leadership and long-term growth, including potential practice management opportunities
