The Role
We have an opportunity for an experienced and dynamic site based Project Administrator to join our project team on a project in Collinsville Queensland, to support operational and project delivery on site. The Project Administrator will provide a pivotal role supporting the site management team to meet contractual obligations and smooth site operations on site.
Camp accommodation and meals will be provided or LAHA depending on project allocations.
PIP incentive project specific.
Penalty rates for overtime & weekend work.
Company transport from airport to site. Travel home paid at ordinary work day.
All roles will require:
- Drivers Licence / government issued photo ID card
- Experience on Mine Sites (required)
- Section 4 medical (MUST HAVE or be willing to complete)
- Standard 11 (MUST HAVE or be willing to complete)
- Glencore Generic (desirable)
Key Role Requirements:
Site Administration:
Support site operations by coordinating logistics, including scheduling of personnel, equipment, and materials.
Coordination or mobilisation and demobilisation of crew, including flights, accommodation and transport.
Maintain site documentation, including permits, licenses, and site rosters.
Assist in the preparation of site progress reports and documentation for project meetings.
Support the HSEQ and management team with transporting crew to training & medicals, as well as system reporting & updates
Communication and Coordination:
Serve as the primary point of contact for internal teams, clients, subcontractors, and suppliers regarding contract and site-related matters.
Maintain regular meetings documents and distribute minutes, action items, and updates as required.
Ensure effective communication of contract terms, changes, and updates to relevant stakeholders.
Excellent communication skills to coordinate and liaise with both internal and external stakeholders
Support recruitment and onboarding of new workers as required
Financial Oversight:
Assist in budget preparation and tracking of project expenditures related to contracts and site operations.
Review and process invoices, ensuring accuracy and compliance with contract terms.
Support financial reporting and forecasting activities as needed.
Compliance and Risk Management:
Ensure adherence to legal and regulatory requirements throughout contract execution and site operations.
Identify potential risks and issues related to contracts and site activities; implement mitigation strategies.
Document production and review
Oversight and management of ITP / ITR tracking and completion requirements throughout project lifecycle as a responsibility.
ISO Compliance
Provide administration support to ensure system compliance and document control
Uphold company policies, procedures, and standards related to contracts, safety, and environmental compliance.
Key Skills and Experience:
Experience in a similar role
Sound experience with the Microsoft suite of programs
Experience using SharePoint and contractor project systems
Understanding of and ability to operate under ISO standards
Ability to adapt quickly to new systems, process and software
Highly effective and clear communication skills, with the ability to interact with all stake holders at all levels
Highly effective administration skills
Excellent organisation and prioritisation skills
High attention to detail
Proficient in English language skills
Strong appreciation of the need for record keeping and consistency in documentation
Ability to operate confidentially and manage confidential information
Proactive and results-oriented, with a strong sense of accountability and ownership
Ability to work independently and as part of a team in a dynamic and fast-paced environment
Problem-solving skills and the ability to make decisions under pressure
