About the Opportunity

We’re looking for a high-performing Project Administrator with experience in civil aviation administration to support one of our busiest business units. You will play a critical role in enabling the smooth delivery of aviation projects by coordinating schedules, documentation, training, logistics, and compliance support.

This role requires a detail-oriented and proactive administrator with experience in regulated, high-compliance industries such as aviation or similar. You’ll work closely with the Business Unit Manager and national project teams, supporting the successful rollout of operational activities across various airport environments.

Key Responsibilities

Provide high-level administrative support to the Aviation Business Unit Manager and wider project team

Set up and maintain accurate project documentation in accordance with internal systems (PSA, SharePoint) and client compliance requirements

Coordinate field team logistics including scheduling, travel bookings, site inductions, and equipment preparation

Assist in the development and review of rosters for technical teams, ensuring appropriate resourcing and skill alignment

Organise project kick-off meetings, take minutes, and follow up on actions to ensure accountability

Monitor data accuracy by reviewing site forms, field reports, and daily documentation for quality and completeness

Manage document control processes and contribute to technical report formatting and submission

Support procurement and finance teams by accurately recording project-related purchases and assisting with invoicing when required

Assist in the onboarding and induction of new team members, including aviation-specific training coordination

Serve as a key communication point for project and client updates, maintaining strong stakeholder relationships

What We’re Looking For

We’re seeking a confident and capable administrator who thrives in dynamic, fast-paced environments. You’re someone who:

Brings 5+ years of administration experience, preferably in aviation or a similar sector

Has exceptional organisational skills and attention to detail

Is experienced in project administration, document control, and technical reporting

Demonstrates excellent communication skills and a proactive, solution-oriented mindset

Has strong proficiency in Microsoft Office (Word, Excel, Outlook) and is a fast learner of new systems

Understands the critical importance of confidentiality, safety, and compliance in aviation environments

Has experience with rostering, scheduling, and supporting teams in remote or operational field settings

Can confidently manage competing priorities and tight deadlines with professionalism and focus

Experience in civil aviation, including airport operations or aviation safety documentation, will be highly regarded
