Sleep Medicine is a small specialist practice (3 part time specialists) in operation for over 20 years we also manage our sleep laboratory at Warners Bay Private Hospital. We are seeking an experienced and motivated Medical Secretary/Assistant Manager to join our team. This role is ideal for someone with excellent administrative and customer service skills who is eager to assist the practice manager in leading the secretarial team and in accounts and practice management.
Essential Criteria:
Minimum of current 5 years' experience in a medical/health practice environment, including management responsibilities
Effective customer service skills, both over the phone and face-to-face
Excellent time management skills, able to work in, at times, a fast-paced environment
Ability to multitask and be self-motivated to stay focused on work tasks.
Ability to process payments, invoicing, and banking
Knowledge of the Medicare Benefits Schedule, experience with medical software, HICAPS, Medicare, DVA, PRODA and private insurance billing.
Ability to maintain accurate records for Medicare, Veterans Affairs, Workcover, and private insurers
Experience with debt collection, including monitoring and following up on outstanding payments
A “can do” positive attitude, strong work ethic, focusing on solutions and the goals of the organisation.
Duties Include:
Delivering exceptional customer service, both in person and over the phone
Confirming clinics, retrieving results, linking and scanning documents
Managing reception/waiting room while clinics are conducted
Managing referrals, appointments and responding to patient enquiries
Typing, provision of patient feedback iPad/forms/card, stocking patient education pamphlets
Updating and maintaining medical records and software systems
Implement and oversee effective administrative and accounting processes
Adhere to the quality improvement and incident management system
Review and where necessary draft policy and procedures
Practice and study billing, banking and following up on unpaid accounts
Assist the practice manager to support and develop the administrative team, while representing and promoting the best interests of sleep medicine at all times
Regularly relieve the Practice Manager in her role.
Please Note:
Only local residents of Lake Macquarie or Newcastle will be considered for this position.
This role requires prior experience in a medical/Healthcare practice.
A uniform is provided but not compulsory

Pay: From $38.00 per hour ($75 000 per year plus bonuses/loadings), prior experience, qualifications and performance will determine a higher rate of pay
Expected hours: 32-38 hours per week
Schedule:
Day shift – 8, 9 or 10 hour days
