Looking for an administration/reception all-rounder role in a smaller, boutique, property development finance AND investment company?
GPS is looking for an admin/reception person to work alongside our existing teams and assist with the continued growth of the company.
With all training provided, this role would suit someone with administration/client services experience who is looking for a role with a bit of everything.
A little bit about us:
The GPS Group comprises of GPS Development Finance Pty Ltd and GPS Investment Fund which are long-established Brisbane based financial services with over 30 years’ experience creating success for our investors and borrowers.
GPS Development Finance is a private lender that provides finance for the construction and development of residential unit and townhouse, industrial and commercial projects in Southeast Queensland.
The funds for these projects are sourced from GPS Investment Fund Limited investors, who earn regular monthly income from their investment. The GPS Investment Fund team manages those investments and our various Funds to generate returns.
Both parts of the business work seamlessly together on a day-to-day basis.
The role:
With a small business that has two different functions, this role is support and administration assistance across both teams, with the aim of providing prompt and seamless client services. Administrative Assistant duties and responsibilities include supporting managers and employees through a variety of tasks related to organisation and communication. You will be responsible for confidential and time sensitive material.
Responsibilities include:
Answer and direct phone calls as first contact
Assisting Investors with queries in regard to their investments both via email and over the phone
Onboarding new investors and investments from existing investors
Assist in the movement of funds through bank accounts while always remaining compliant
Processing and directing mail and incoming packages or deliveries
Greeting and directing visitors to appropriate meeting rooms
Plan meetings and take minutes
Generate and send Statements
Data entry
Maintain filing both electronically and physically
Maintain and Order office supplies
Marketing admin tasks including following up investor leads
Preparation of the Investor monthly newsletter
Preparation of Investor forms and documents such as SPDS’s, IM’s and TMD and PDS updates
Assist in the planning of new investments and communication strategy to investors
Lending admin tasks when time permits
Finding ways to improve administrative processes

Proven administration experience is ideal
Excellent time management skills and ability to multi-task and prioritise work
High level of attention to detail and problem solving
Excellent written and verbal communications skills
Our investors love a chat, so a bubbly but patient personality would thrive
Ability to work effectively both independently and as part of a team
Strong organisation and planning skills
Proficient in Microsoft Office Skills
Maintain Borrower and Investor confidence by upholding confidentiality at all times
Liaise with all stakeholders to ensure the integrity of GPS Investments and GPS Development Finance is preserved.
Other duties that assist in the performance of this role
Complete all GPS Investments and GPS Development Finance training as required
