We are currently seeking an enthusiastic and capable Administrative Assistant to support our flagship 20-storey luxury build at No. 21 Broadbeach Boulevard. This is a dynamic, office-based role designed for someone who thrives on coordination, clear communication and being a trusted support to a highly capable site and leadership team.
The Role
Based at our Head Office in Broadbeach, with occasional support to the nearby Site Office, this role is key to keeping our team running smoothly. You’ll manage documentation, coordinate meetings, liaise with stakeholders, handle supplies and support day-to-day office and site administration. We’re looking for someone with sharp attention to detail, great communication skills, and a can-do attitude who’s ready to pitch in wherever needed.
Key Responsibilities
Provide admin support to site/office leadership, trades and contractors
Maintain registers, documentation and digital filing systems
Coordinate meetings and follow-ups across multiple stakeholders
Assist with onboarding, licence tracking and staff records
Prepare and format internal documents and site communications
Liaise professionally with internal teams and external stakeholders
Help maintain a compliant, organised and high-performing office/site
Monitor and restock office, kitchen and stationery supplies
Support data entry, filing and general office upkeep
About You
Experience in a project-based or construction office environment (preferred)
Sharp attention to detail, with strong follow-up and document management skills
Clear, professional communication — both written and verbal
Strong initiative and time management; comfortable working independently
Confidence working with a range of personalities and seniority levels
Proficiency in MS Office; experience with Procore is a plus
A positive, practical attitude and willingness to jump in where needed
