Playscape Creations is seeking a highly client-facing Project and Contracts Coordinator to join our team in Richlands, Queensland. This full-time position is pivotal in ensuring the seamless delivery of our projects. The ideal candidate will excel in building strong client relationships, demonstrate adaptability in engaging with diverse stakeholders and construction teams, and possess expertise in project coordination, administration, and contract management.

MAIN TASKS What You'll Be Doing:

Act as the primary point of contact for clients, ensuring their needs are understood and met throughout the project lifecycle.

Coordinate all aspects of project planning, scheduling, and execution to ensure on-time and on-budget delivery.

Liaise with clients, suppliers, subcontractors, and construction teams to manage project timelines, budgets, and resolve issues promptly.

Monitor project progress and provide regular updates to project managers and stakeholders, maintaining transparency and alignment.

Manage contracts, including reviewing, drafting, and negotiating terms with clients, suppliers, and subcontractors to ensure favourable and compliant agreements.

Ensure compliance with contractual obligations, administering variations, claims, and extensions of time accurately and efficiently.

Maintain comprehensive project documentation, including contracts, purchase orders, site logs, and progress reports.

Support project managers with administrative tasks, such as resource allocation and compliance with project management processes.

Build and maintain strong relationships with clients, delivering exceptional customer service to exceed expectations.

Collaborate closely with construction teams, acting as a liaison between office and field to ensure smooth project execution.

Adapt communication and approach to effectively engage with diverse stakeholders, from high-level clients to on-site construction teams.

What We're Looking For:

Minimum 4 years’ experience in a similar role (e.g., Project Coordinator, Project Administrator, or Contracts Administrator) within commercial landscaping or construction is desirable.

Proven expertise in contract management, including drafting, reviewing, and negotiating construction contracts, variations, and claims.

Demonstrated success in client relationship management, with a track record of delivering exceptional customer service.

Strong negotiation skills, with experience in contract administration and stakeholder engagement.

Excellent organisational and time management skills, with the ability to manage multiple projects and prioritise effectively in a fast-paced environment.

Proven adaptability and flexibility in engaging with diverse stakeholders, including clients, suppliers, and construction teams.

Exceptional communication skills, with the ability to liaise confidently and tailor interactions to suit different audiences, from clients to on-site teams.

Proficiency in project management software. ZOHO would be extremely advantages.

Solid understanding of construction project management principles, processes, and contractual frameworks.

Proactive problem-solving skills and a passion for delivering high-quality, sustainable projects.

Knowledge of Australian construction standards, safety regulations (e.g., Work Health and Safety Act), and industry best practices is highly desirable.

Preferably from a commercial landscaping or construction background, with familiarity in playground or recreational space projects being advantageous.

Relevant qualifications (e.g., Diploma in Project Management, Contract Administration, or Construction Management) are preferred but not essential.
