Job Title: All-Rounder Office Administrator / Project Coordinator / Manager

About the Role:

We are looking for a proactive, reliable, and versatile Office Administrator / Project Coordinator / Manager to join our growing team. This role is ideal for a motivated “go-getter” who enjoys variety, thrives in a fast-paced environment, and takes initiative in both administrative duties and hands-on project coordination.

You will be the backbone of our office operations while also taking the lead on small-scale building and electrical projects. This is an exciting opportunity to grow alongside the business and play a key role in shaping our internal processes and project delivery.

Key Responsibilities:

General Office Administration

Manage incoming calls, emails, and correspondence

Perform basic bookkeeping and invoicing tasks (Xero experience preferred)

Maintain both digital and physical filing systems

Assist with HR tasks, including onboarding, compliance, and documentation

Liaise with suppliers, clients, and tradespeople

Project Coordination (Small Projects)

Lead and manage minor projects (e.g.repair projects , electrical installations, process improvements)

Coordinate with contractors, suppliers, and internal stakeholders

Prepare and maintain basic project schedules and status updates

Monitor budgets, timelines, and resource allocation

Conduct project follow-ups and prepare completion reports

Skills & Experience Required:

Minimum 3 years’ experience in office administration

Strong organisational and multitasking abilities

Excellent written and verbal communication skills

Demonstrated ability to work independently and take initiative

Experience managing small projects or coordinating with trades

Proficient in Microsoft Office (Word, Excel, Outlook); Xero is desirable

Background in insurance repairs or construction/fit-out projects preferred

Positive, can-do attitude and willingness to support the team as needed
