Primary Purpose/Role Summary
The Project Coordinator plays a vital role in the successful delivery of construction projects by supporting the Operations Manager and Project Management Team. The position is responsible for project coordination, stakeholder communication, supplier engagement, administrative task execution, and providing continuity across functions. The Project Coordinator ensures that project timelines, compliance requirements, and internal processes are followed with precision and care.

Responsibility Areas
Project Coordination & Documentation
· Assist in managing construction schedules, site access requirements, and daily work programs.
· Maintain detailed and accurate project records using Trello, SiteMate, and internal trackers.
· Support the compilation of safety documentation (SWMS, risk assessments), site forms, and compliance paperwork.
· Track and log variations, RFIs, RFQs, and other project changes.
· Assist with preparation of work packs, pre-start documentation, and deliverables for field teams.
· Ensure that project deadlines and milestones are clearly tracked and communicated.
· Manage purchase orders and financial tracking for construction projects.
Client & Stakeholder Communication
Provide professional and timely updates to clients on project milestones and changes.
Assist Project Managers in preparing client correspondence, meeting summaries, and follow-ups.
Liaise with clients to schedule site visits, inspections, and stakeholder meetings.
Support issue resolution by facilitating communication between client teams and internal departments.
Supplier & Subcontractor Liaison
Request quotes, negotiate pricing, and confirm delivery schedules with suppliers and subcontractors.
Raise and track purchase orders and delivery dockets to ensure material availability.
Maintain positive and proactive communication with vendors to address supply delays or quality issues.
Internal Department Support
Work alongside the Estimating, Engineering, and Project Management teams to coordinate workload, updates, and documentation for ongoing projects.
Provide support during high-demand periods by stepping into additional tasks or roles as needed.
Assist in tender support by formatting, proofreading, and assembling submission documents.
Project Administrator Coverage
Provide consistent weekly support to the Project Administrator to ensure smooth operations and communication.
· Manage the Projects Inbox, ensuring timely responses and task delegation.
· Maintain Trello boards, update action items, and support internal communications.
· Compile and distribute weekly and monthly project reports, including action tracking.
· Coordinate internal project meetings, record minutes, and follow up on assigned tasks.
Provide coverage during periods of leave or peak demand by maintaining the Projects Inbox, updating Trello cards, and coordinating internal communications.
Site Compliance, SiteMate & ISO Support
Maintain ISO-related project documentation and assist with internal audit preparation.
Ensure that all documents uploaded to SiteMate and Dropbox meet compliance requirements and follow standard naming conventions.
Support the tracking of safety documentation (including first aid registers, incident reports, toolbox talks).
Required Qualifications & Experience
Certificate IV, Diploma, or Bachelor’s Degree in Project Management, Construction, Business, or similar.
2–4 years’ experience in a project coordination, site administration, or construction support role.
Experience in the electrical, construction, or engineering industries preferred.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and basic familiarity with Trello, Procore, or SiteMate.
Understanding of safety, compliance, and documentation practices within a construction environment.
Clear and professional written and verbal communication skills.
Demonstrated ability to handle multiple competing priorities in a dynamic environment.
