Position Overview:

As a Senior Contracts Administrator, you will play a critical role in ensuring the efficient and effective management of contracts throughout the project lifecycle. Your responsibilities will encompass contract drafting, negotiation, administration, and compliance monitoring, with a focus on optimizing project outcomes and minimizing risks. You will license the company as per QBCC requirements.

Key Responsibilities:

Contract Development and Drafting:

Collaborate with project stakeholders to understand project requirements and objectives.

Draft clear, comprehensive, and legally sound contracts in accordance with company policies and procedures.

Ensure that contracts accurately reflect the agreed-upon terms, conditions, and scope of work.

Customize contract templates as needed to meet project-specific requirements.

Contract Negotiation:

Lead negotiations with clients, subcontractors, and vendors to achieve favourable terms and conditions.

Identify areas of potential conflict or disagreement and proactively work towards resolution.

Ensure that negotiated contracts align with project goals, budgetary constraints, and risk management strategies.

Document all negotiated changes and amendments in a timely and accurate manner.

Contract Administration and Compliance:

Establish and maintain a centralized contract repository to track contract status, key dates, and deliverables.

Monitor contract performance to ensure compliance with contractual obligations and regulatory requirements.

Coordinate with project managers and other stakeholders to facilitate timely execution of contract deliverables.

Review and approve contract modifications, extensions, and terminations as necessary.

Risk Management:

Conduct thorough risk assessments to identify potential contractual risks and liabilities.

Develop and implement risk mitigation strategies to minimize exposure and safeguard project objectives.

Monitor project activities for compliance with risk management protocols and escalate issues as needed.

Provide guidance and support to project teams on risk identification, assessment, and mitigation.

Stakeholder Communication and Relationship Management:

Serve as the primary point of contact for contractual matters, both internally and externally.

Foster positive relationships with clients, subcontractors, and vendors through regular communication and collaboration.

Address inquiries, concerns, and disputes related to contracts in a prompt and professional manner.

Facilitate effective communication between project teams, legal counsel, and other relevant parties.

Continuous Improvement:

Identify opportunities to streamline contract management processes and improve efficiency.

Implement best practices and standard operating procedures to enhance contract administration practices.

Stay abreast of industry trends, regulatory changes, and emerging technologies related to contract management.

Qualifications and Skills:

Bachelor's degree in Business Administration, Contract Management, Legal Studies, or related field.

years of experience in contract administration, preferably in the construction or engineering industry.

Strong understanding of contract law, commercial terms, and industry standards.

Excellent negotiation, communication, and interpersonal skills.

Proficiency in contract management software and Microsoft Office Suite.

Detail-oriented with a demonstrated ability to manage multiple priorities in a fast-paced environment.

Certification(s) in contract management (e.g., Certified Federal Contracts Manager, Certified Commercial Contracts Manager) is a plus.
