And as we continue to expand, we're looking for a dynamic Contracts Administration Coordinator to join our awesome team and help drive our success through supporting our Senior Contracts Administrator!
About the Role
As our Contracts Administration Coordinator, you’ll play a key role in supporting the smooth flow of our property sales process. From requesting or preparing and tracking contracts, to liaising with clients and stakeholders, you'll help ensure every detail is accurate, timely, and compliant. You'll also assist with documentation, and keeping our systems and records up to date, making you an essential part of the engine that keeps our operations moving.
Working closely with the Senior Contracts Administrator, Build Support Coordinator, and our fantastic team, you'll support our business goals and help us reach new heights.
Key Responsibilities
- Contract Requests, Preparation & Processing: Assist in requesting, preparing, reviewing, and processing property sales contracts to ensure accuracy, compliance, and timely execution.
- Document Management: Maintain organised records of contracts, supporting documentation, and correspondence in line with internal procedures and legal requirements.
- Stakeholder Coordination: Liaise with internal teams (sales, acquisitions, finance) and external stakeholders (clients, developers, solicitors) to gather required information and resolve contract-related queries.
- Status Tracking: Monitor the progress of contracts, including key dates (e.g. finance approval, settlement dates and refunds), flag delays or required follow-ups.
- CRM & Data Entry: Accurately update client and contract information in the company CRM, ensuring all data is current and traceable.
- Process Improvement: Help refine and document contract workflows and administrative procedures (SOPs) to support team efficiency and consistency.
- Invoice Ownership: Communicating between our clients and builders to follow up any standing claims stage payments.
- Cross Training: Work alongside our Build Support Coordinator to develop a broader understanding of the post-contract process and assist during periods of high volume.
- Flexible Helper: Perform other duties as needed, showcasing your versatility and can-do attitude.
About You ✨
You’re organised, detail-oriented, and have a strong sense of ownership. You’re motivated by learning and take pride in keeping things neat, accurate, and on time.You have a minimum of 2 years experience in Contracts Administration in ideally a related industry and are looking to grow long term alongside the company.
