What you'll be doing:
General Office & Communication Management
Act as the primary point of contact for all office-based staff requiring administrative assistance or direction
Manage general company inbox: respond where appropriate or escalate to the relevant team member
Monitor HR inbox and forward queries to the HR Consultant or internal staff as required
Maintain a tidy, well-stocked, and functional office environment at both the Myaree and West Perth locations
Meetings & Coordination
Prepare meeting agendas and coordinate with relevant team members to confirm items
Attend meetings to record minutes, ensuring accuracy and clarity
Maintain a follow-up strategy for all action items — track responsibilities, due dates, and completion across all departments
Distribute meeting outcomes and proactively chase outstanding tasks
Logistics & Travel Coordination
Book travel arrangements including flights, accommodation, and transport for staff and subcontractors
Liaise with team members to confirm preferences, schedules, and special requirements
Coordinate travel itineraries and distribute confirmations in a timely manner
HR Support (Assisting HR Lead)
Support the HR Consultant with administration:
Recruitment & Onboarding
Posting ads on platforms
Screening applicants and coordinating interviews
Issuing contracts and onboarding packs
Managing full onboarding and induction processes
Coordinating apprentice sign-ups and managing RTO admin
Leave & Payroll Support
Leave tracking and approvals
Ensuring accurate data for payroll
Liaising with accounts on reimbursement
Safety Administration
Assist site/project teams with collecting and uploading safety documentation (SWMS, ITPS, toolbox talks)
Ensure safety and compliance documentation is uploaded accurately and assist team members with using the system
System Support & Data Management
Set up key project documentation, photos, safety records, and compliance forms
Support team members with basic troubleshooting and use of the documentation tools
Maintain folder structures
Coordinate with project managers to ensure real-time updates and documentation integrity
Minor Bookkeeping & Account Support
Potential workload management in processing of basic data in the Xero System.
Project & Compliance Support
Ensure all records are appropriately filed
IT, Marketing & Systems Support
Support with logins, password resets, and minor tech troubleshooting
Assist with updates to the website and social media content if needed
Help implement and maintain templates, workflows, and processes across systems
