Position Overview
Redenlab is looking for an experienced executive assistant and bookkeeper to assist in managing our day-to-day business activities accounting and finance requirements. Confidentiality, excellent organisational skills, and accuracy are important qualifications for this position, as well as good customer relations and the ability to communicate clearly. The ideal candidate for this position is a skilled multitasker, is reliable and is committed to consistently meeting deadlines.
Objectives
Support the CEO primarily and provide additional support to senior team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
Maintain and refine internal processes that support senior staff companywide and coordinate internal and external resources to expedite workflows
Manage communication with employees by liaising with internal and external partners on various projects and tasks
Plan and orchestrate work to ensure that senior staff priorities are met, organisational goals are achieved, and best practices are upheld
Support book-keeping activities
Key Responsibilities
Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
Coordinate complex scheduling and calendar management, as well as content and flow of information to senior staff
Manage senior staff travel logistics and activities, including accommodation and transport
Provide administrative and office support, such as maintenance of filing system and contacts database, liaising with related teams and ensuring priorities are met
Maintain professionalism and strict confidentiality with all materials
Support team communications and plan events, both internal and off-site
Track expenses, budget, taxes, cash flow, receipts, and other financial dealings of company.
Provide regular financial reports
Ensure timely processing of payroll
Create and action change orders for existing clients
Pay vendor invoices and track bank account balances
Qualifications
Four or more years of experience in an administrative role reporting directly to upper management
Excellent written and verbal communication skills
Strong time-management skills and an ability to organise and coordinate multiple concurrent projects
Proficiency with office productivity tools and an aptitude for learning new software and systems
Experience and confidence using Xero
Experience in overseeing budgets and expenses
Flexible team player, willing to adapt to changes
Ability to maintain confidentiality of information related to the company and its employees
Able to work flexibly across different stakeholders based around the world.

Location: Mixed model of remote and in-office in Carlton, Melbourne
Schedule: Part time / casual [2-3 days a week]
