Due to the ongoing growth of the business Summit Building Co. are seeking a part-time Administration Officer to join their growing team.
About the Role
As the Office Administrator, you’ll be the heart of the day-to-day operations and play a vital role in supporting the smooth operations of the business and act as the first point of contact for clients. You will have the opportunity to shape the role and build and improve processes and systems to add value to our growing business. From managing office systems and financial records to supporting HR onboarding and project documentation, you’ll play a key role in ensuring the smooth running of the office.
Reporting to the Directors, key responsibilities of the role will include:
Manage the day-to-day office administration and act as the first point of contact for clients
Maintain job files and provide support to projects including documentation preparation of tenders, quotes, purchase orders and subcontractor agreements
Maintain filing systems (digital and paper) for permits, contracts, and documents
Handle basic financial admin including payroll assistance and BAS support
Prepare documentation for quotes, purchase orders, and building permits
Support HR policies and procedures, including onboarding, employee compliance (contracts, white cards, licenses, etc.)
Liaise with the company accountant, suppliers and external stakeholders
Assist with WHS documentation and policy implementation
Additional responsibilities as required
What you bring
To be successful in this role, you will have at least 2 years’ experience working in an administrative role. Previous experience in a trade-based business will be a bonus, as will an understanding of social media marketing.
You will be extremely organised, with a solid understanding of the Microsoft Office suite and have a strong customer service focus with both internal and external customers. Your strong interpersonal skills allow you to influence others and resolve issues.
A demonstrated fast learner, focused on quality and an eye for accuracy and detail, you will display a high degree of initiative, problem-solving and a drive for continuous improvement. Your ability to adapt to changing priorities, while still dealing with the day to day issues, will be reflected in your capability to manage your time to achieve results.
Skills & Experience
Minimum 2 years’ experience in an office admin role (construction/trade background preferred)
Confidence using Microsoft Office Suite (especially Word and Excel)
Experience with accounting or payroll software (Xero or similar preferred)
Strong attention to detail and the ability to stay organised and calm under pressure
Excellent verbal and written communication skills
A proactive mindset and willingness to support the broader team where

Proven ability to manage a variety of tasks
